Department Information
The Venue Sourcing team at Clarity Business Travel specialises in finding and securing venues for corporate meetings, conferences, and events. This team is crucial in ensuring that all venue arrangements meet client specifications, including budget, location, and service standards. Collaborating with other departments, such as finance, the team ensures smooth operations in managing contracts, payments, and service delivery.
Role Purpose
The Venue Find Consultant plays a pivotal role in understanding client requirements for business meetings and events, both in the UK and internationally. Your primary responsibility is to source the most suitable venue, negotiate favourable terms, and secure contracts within the client's budget. You’ll utilize your expertise in venue sourcing and contracting to deliver solutions that exceed expectations, enhancing the client’s overall experience. Your efforts will directly contribute to the success of the client's business travel and event needs.
Accountabilities
1. Client-Focused Venue Sourcing
- Understand and interpret client needs for business meetings and events to source the ideal venue.
- Proactively source venues both domestically and internationally that align with client specifications in terms of budget, location, and service quality.
- Negotiate favourable terms with venues to secure the best value, ensuring contracts are in line with client budgets.
2. Contracting and Negotiation
- Leverage your knowledge of venue sourcing to negotiate competitive pricing, terms, and conditions with venue suppliers.
- Ensure that all contracts are carefully reviewed and managed to meet both client and company standards.
3. Cross-Department Collaboration
- Work closely with internal teams, particularly finance, to ensure smooth management of contracts, invoicing, and payments.
- Collaborate with colleagues to deliver comprehensive venue sourcing solutions and maintain high levels of client satisfaction throughout the process.
4. Continuous Learning and Knowledge Development
- Stay updated on the latest trends and developments in venue destinations by engaging with key suppliers and participating in industry events, workshops, and webinars.
- Attend familiarisation trips to explore new venues and destinations, ensuring your recommendations are current and relevant.
5. Team Support and Quality Assurance
- Assist the Team Manager by monitoring service quality and customer satisfaction.
- Contribute to the training and development of colleagues, sharing your expertise and knowledge to help improve the overall performance of the team.
You’re Good At:
- Staying informed about new and emerging venues, both locally and internationally, that meet business travel needs.
- Managing multiple projects efficiently, adapting to changing client requirements while maintaining a proactive, client-focused approach.
- Handling pressure with ease, providing excellent customer service via phone, email, or face-to-face interactions.
- Using Microsoft Office, particularly Excel, and managing data across various databases and platforms.
- Working collaboratively with colleagues to solve problems, deliver exceptional service, and align with the company's overall goals.
You Might Also Have:
- Experience using venue booking systems specific to the business travel and events industry.
- A proven track record in negotiating and contracting with external suppliers for corporate meetings and events.
