Job description

Blue Rose is seeking a Business Function Implementation Practitioner to support our work with a federal client in Rosslyn, VA. This is a remote role and is open to U.S. Citizens.

We are looking for a highly organized and proactive Data Shop Special Assistant to directly support the Chief Data Officer and data teams and facilitate human-centered design processes. This position is integral in ensuring smooth Front Office operations and applying systems thinking to address complex challenges within the bureau. 

In this role you will:

  • Prepare and deliver the regular reports to ensure the front office remains informed and can make data-driven decisions by compiling information, analyzing data, and preparing summary reports

  • Prepare Talking Points for the managing director and other senior staff for meetings, briefings, and external engagements

  • Manage briefing checklists to ensure that all necessary information is gathered and presented in advance of meetings or events

  • Manage the calendar for the managing director and coordinate logistics with stakeholders

  • Attend key meetings to take notes, track action items, and ensure follow-up on decisions and commitments made during these meetings

  • Track action items assigned to the managing director’s staff, ensuring on-time completion and holding staff accountable for responsibilities

  • Assist in the preparation of accountability reports to assess performance and follow-through of managing director’s staff, highlighting areas of success and those needing improvement

  • Lead and facilitate meetings, workshops, and collaborative sessions, ensuring discussions are productive, inclusive, and aligned with bureau’s strategic goals

  • Drive collaborative problem-solving and foster innovative thinking by applying human-centered design principles: conducting user research, developing personas, creating journey maps, and prototyping solutions to address complex challenges

  • Apply systems thinking to understand and address the interconnections and dependencies within the bureau, ensuring solutions are sustainable and effective

  • Utilize graphic facilitation techniques to visually capture and communicate ideas, discussions, and outcomes during meetings and workshops, making complex information more accessible and engaging for all participants

  • Design and conduct innovation workshops to encourage creative thinking and generate new ideas. Use design thinking tools and techniques to guide participants through the ideation and problem-solving process

  • Engage with stakeholders at all levels to gather insights, build consensus, and ensure design solutions meet needs of the bureau and its constituents 

REQUIREMENTS:

  • Strong organizational and time management skills, ability to manage multiple tasks simultaneously and prioritize effectively
  • Excellent written and verbal communication skills, keen attention to detail
  • Familiarity with accountability frameworks and reporting mechanisms in a large organizational setting
  • High level of discretion and professionalism, experience handling sensitive and confidential information
  • Previous experience in a special assistant or chief of staff role, esp. in governmental or large organizational setting
  • Proven experience supporting senior executives with front office operations, including reporting, communication, and accountability
  • Skills in meeting facilitation, human-centered design, and graphic facilitation
  • Experience in conducting user research, developing personas, creating journey maps, and prototyping solutions
  • Ability to apply systems thinking to understand and address complex challenges


Salary: $100,000 - $110,000 Dependent on Experience
