Job description

Our client is seeking a proactive and experienced Executive Assistant to support their COO with a range of high-level administrative and strategic duties.

Requirements

  • Minimum 5 years of experience as an Executive Assistant
  • Bachelor’s degree in Business Administration, Management, or a related field
  • Start-up/Fintech experience required
  • Someone who is highly organized and a natural project manager
  • Extremely agile and flexible in response to changing priorities and needs
  • A self-starter who is highly motivated
  • Extremely resourceful in ever-changing situations
  • Being proactive— anticipating the needs of others before anyone else
  • Someone who is emotionally intelligent and a strong communicator (both verbal and written)
  • Enjoys partnering with other administrative colleagues across the organization and providing back-up support when necessary
  • An understanding that things may come up outside of typical office hours


Responsibilities

  • Provide calendar management for the COO
  • Act as the primary point of contact for internal and external communications on behalf of the COO
  • Track project timelines, milestones, and deliverables
  • Coordinate with relevant stakeholders to ensure timely progress on key initiatives
  • Manage logistics for meetings including organizing agendas, calendar invites, preparing written materials
  • Develop relationships with internal administrative staff to facilitate meeting planning and scheduling
  • Handle sensitive information with the utmost discretion and professionalism
  • Communicate and interact with members of the management team
  • Arrange all domestic and international travel, including itineraries, lodging, air/transit/care travel, entertainment.
  • Prepare Travel & Expense reports, reconcile corporate card expenses
