Job Overview

We are seeking a highly skilled and detail-oriented Executive Assistant to provide comprehensive administrative support to our senior executives in a fully remote capacity. This pivotal role requires exceptional organizational skills and the ability to manage multiple priorities effectively while serving as the primary point of contact between executives and various stakeholders.

Key Responsibilities

  • Efficiently coordinate and manage the executives’ appointments, meetings, and travel arrangements, ensuring optimal use of their time.
  • Organize, maintain, and safeguard files, records, and confidential information for seamless access and retrieval.
  • Monitor ongoing projects, collaborating with team members to ensure timely completion and adherence to deadlines.
  • Cultivate and sustain positive relationships with key stakeholders, preparing meeting agendas and documenting discussions as necessary.
  • Coordinate travel arrangements, including flights, accommodations, and transportation, while preparing detailed itineraries.
  • Assist with financial tasks, including expense tracking, invoice processing, and budget oversight while liaising with finance personnel and vendors.
  • Prepare meeting materials and take notes during discussions, following up on action items to ensure effective communication.
  • Delegate tasks to team members or external service providers as appropriate, monitoring progress to guarantee timely and accurate completion.
  • Provide general administrative support, including drafting and proofreading documents and addressing other ad hoc requests as needed.

Required Skills

  • 3-5 years of experience as an Executive Assistant supporting high-level executives.
  • Proven experience in CRM management.
  • Excellent organizational and time management capabilities, with a strong ability to prioritize tasks effectively.
  • Strong verbal and written communication skills, enabling professional interaction with stakeholders at all levels.
  • Proficiency in virtual communication tools, project management software, and other relevant applications.
  • High degree of discretion and confidentiality in managing sensitive information.
  • Strong attention to detail and adept problem-solving abilities.
  • Proactive self-starter, able to work independently while meeting deadlines.
  • Flexibility to accommodate varying time zones.
  • An undergraduate degree is required.
