Job description

Job Title:  Legal Services Administrator

Location: Remote

Work Shift: 9 AM - 5 PM UAE hours or overlap with PH hours
Working Hours: 20-30 hours per week (Part-time)

Job Description:

The Legal Services Administrator will be responsible for providing comprehensive administrative support to our legal team. This role will involve managing legal documents, assisting with case management, and ensuring smooth operations within the legal department. The ideal candidate will possess strong organizational skills, attention to detail, and a proactive approach to problem-solving.

Key Responsibilities:

  • Manage daily schedules, appointments, and email correspondence to maximize productivity.
  • Prepare, review, and file legal documents, ensuring compliance with relevant regulations and deadlines.
  • Handle sensitive information, including signing documents and completing forms on behalf of the team.
  • Oversee invoicing processes and coordinate with accountants/bookkeepers to ensure timely payments and financial accuracy.
  • Organize and save important documents in client-specific folders for easy access and retrieval.
  • Manage and review historical data for reference and informed decision-making.
  • Facilitate smooth communication within the remote team using platforms such as Teams, Outlook, and SharePoint.
  • Utilize WhatsApp for effective coordination and quick communication.
  • Assist with newsletters, conducting research, and scheduling content as needed.
  • Manage social media updates, including LinkedIn posts.
  • Provide design assistance using Canva (bonus skill).

Requirements

  • Bachelor’s degree in Business Administration, Communications, or a related field.
  • Proven experience as an executive or administrative assistant.
  • Strong proficiency in Microsoft Office Suite (Outlook, Word, Excel) and familiarity with SharePoint and Teams.
  • Excellent organizational skills and meticulous attention to detail.
  • Ability to handle sensitive information with discretion.
  • Strong written and verbal communication skills.
  • Familiarity with social media platforms and Canva is a plus.
