JOB DESCRIPTION FOR AN ADMIN SPECIALIST
Your Responsibilities as an Admin Specialist would be:
• CRM Management (High Level/Genie AI):
• Day-to-Day Operation: Handle the CRM for all sales and customer service tasks, managing customer data, and ensuring accurate record-keeping.
• Lead Management: Input new enquiries into the CRM system, track sales leads, and assign them to the appropriate team members.
• Pipeline Management: Monitor and update the sales pipeline, ensuring that all leads are followed up promptly and appropriately moved through the sales funnel.
• Social Media & Marketing Integration: Oversee and manage the integration of social media and marketing tools into the CRM, ensuring smooth synchronization of lead generation efforts.
• Data Accuracy: Ensure data integrity and accurate information within the CRM, including regular updates to customer information, sales progress, and communication logs.
• Sales Support:
• Enquiry Management: Respond to customer enquiries via the catch-all email and telephone, logging interactions in the CRM and following up as needed.
• Contract Administration: Use DocuSign to manage and send out contracts, ensuring that all documentation is accurately completed and signed off in a timely manner.
• Sales Stages Management: Coordinate and track the various stages of the sales process, from initial enquiry through to contract signing, project management, and closure of the file post-project completion.
• Customer Communication: Handle regular communication with clients throughout the sales and project lifecycle, ensuring excellent customer service and professional interactions.
• Customer Service:
• First Point of Contact: Serve as the first line of communication for incoming calls and emails, providing information or directing inquiries to the relevant teams.
• Customer Issue Resolution: Handle customer service requests, issues, or complaints, and ensure they are resolved promptly, with clear communication throughout the process.
• Post-Sale Follow-Up: Ensure customers receive all necessary post-project documentation and provide support for any follow-up queries.
• Administrative Duties:
• Documentation: Maintain organized records of sales and customer service interactions, ensuring all files are up to date and easily accessible.
• Reporting: Generate reports from the CRM on sales performance, customer interactions, and project status for management review.
• File Closure: After project completion, ensure that all customer files are properly closed and archived according to company standards.
Qualifications as an Admin Specialist:
• Bachelor’s degree in business or a similar discipline is strongly preferred.
• Prior experience in administrative roles supporting sales and customer service teams.
• Experience working with CRM systems such as High Level, Genie AI, or similar platforms.
• Proficient with DocuSign or other contract management tools.
• Knowledge of social media integration tools and marketing automation in a CRM system.
• Strong organizational and time management skills.
• CRM Expertise: Experience managing CRM systems such as High Level or Genie AI, with strong capabilities in handling customer data, pipelines, and integrated tools.
• Communication Skills: Excellent verbal and written communication skills, with the ability to handle email and telephone enquiries professionally and efficiently.
• Sales Administration: Proven experience in supporting sales processes, from lead management through to contract administration and project completion.
• Customer Service: A strong focus on delivering outstanding customer service, with the ability to resolve issues and maintain client satisfaction.
• Document Management: Experience managing contracts and documentation via systems like DocuSign, ensuring accuracy and timely completion of agreements.
• Multi-tasking and Organization: Strong organizational skills with the ability to manage multiple tasks simultaneously, keeping track of all sales and customer service activities.
• Technology Proficiency: Familiarity with social media and marketing tool integrations in a CRM, with the ability to manage and troubleshoot any synchronization issues.
• Construction Industry Knowledge (Preferred): Familiarity with the construction industry or a related field is highly desirable, as it helps in understanding project lifecycles and customer needs.
