Summary 

Under immediate supervision, this versatile position is responsible for addressing research requests that come through the Reference Desk, contributing to the firm’s Knowledge Management initiatives, as well as for handling the core functions of the acquisitions and technical services areas.  All responsibilities are of equal importance and it is expected that the symbiotic attention to each be seen as essential to the operation of the Research and Knowledge Services department. 

 

Essential Functions 

 

Research and Reference Services 

Provides quick reference and in-depth research services using a variety of legal and non-legal resources, determining the appropriate resource to use based on time, cost, and user need. 

  • Conduct in-depth reference interviews—in person, via email, or virtually—to clarify the subject, scope, and purpose of request 

  • Analyze, summarize, and customize research results to meet the specific requirements of the requestor 

  • Demonstrate knowledge of legal and non-legal resources in different formats and determine which is appropriate for a given project 

  • Hone strong technical skills in electronic legal databases relevant to the firm’s practices 

  • Coordinate access to, license compliance with, and train on commercial databases; create research and bibliographic tools on legal and business topics 

  • Recommend, review, and test new services and products for possible addition to the collection and manage against duplication with existing resources 

  • Proactively monitor research requests for training opportunities tailored to both attorneys and staff 

  • Active participation in department meetings as well as contributing to and documenting procedures and best practices is required 

  • Perform other duties as assigned 

 

Knowledge Management 

Organizes, shares, and leverages the firm’s expertise. 

  • Classify internal precedent collections and knowledge banks 

  • Identify the firm’s matter-centric knowledge for collection in the Matter Profiling System (MPS) and for databasing in an experience search 

  • Curate content for department intranet pages using Microsoft SharePoint 

  • Spread awareness of the firm’s knowledge-sharing project to internal audiences 

  • Additional projects as they arise 

 

Acquisitions and Technical Services 

Handles incoming materials—in both print and electronic formats—and processes invoices for the KM & Research Manager’s approval, ensures a current and tidy physical collection, and demonstrates a familiarity with the Library’s resources. 

  • Uphold Library appearance and efficiency by shelving, shelf reading, shifting, and rearranging the print collection for optimal ease of use; ensure current editions of titles are available for check-out and label or remove superseded copies 

  • Manage loose-leaf filing and follow up when book is not on shelf 

  • Order new materials as requested and approved by the KM & Research Manager and track items received in a timely manner in the department ILS; verify online catalog accurately reflects the Library collection; maintain current route lists and office copy distribution lists 

  • Resolve discrepancies (e.g. wrong title received, incorrect number of copies received, item not ordered, item not received) and billing issues with vendors; be mindful of irregular or staggered subscriptions 

  • Proficient use of Aderant to submit invoices to Accounting for payment 

  • Coordinate interlibrary loan requests and follow-through for a timely return

Work Environment 

This position is primarily remote. Employees can work remotely or from the office based on demands of specific tasks or personal work preferences. The employee may be required to be at the office at the discretion of the manager.  

 

This role routinely uses standard office equipment. Because this position will be handling client information, employees must work from a home office and not a public location during any remote periods.

Position Type and Expected Hours of Work 

This is typically a full-time position with benefits eligibility, but we will consider part-time candidates. Occasional evening, weekend work, and overtime may be required as job duties demand. 

 

Required Education and Experience 

Bachelor’s Degree and/or a minimum of three years of library experience or equivalent 

 

Preferred Education and Experience 

  • A Master’s degree in library and information studies and/or J.D. from an accredited law school 

  • Previous experience in the legal industry and/or in a library setting
