JOB SUMMARY
Stearns Bank is seeking a highly organized and detail- oriented Event Coordinator to join our dynamic team. This role is essential in planning, coordinating, and executing national conferences, events, and other initiatives that align with Stearns Bank initiatives and go-to-market strategies.
Starting annual salary of $70,000.00. Employment offers will be dependent upon the selected candidate’s relevant qualifications and experience.
RESPONSIBILITIES
EVENT PLANNING & COORDINATION:
- Plan, organize, and execute national and regional conferences, workshops, webinars, round tables, corporate events etc.
- Collaborate with internal departments, vendors, and external partners to ensure seamless event execution.
- Develop event timelines, schedules, and logistics plans, ensuring all details are covered.
- Manage vendor contracts, including venue, catering, and other event services.
- Create and track budget and ensure expenses and invoices are processed in a timely manner.
- Organize event participant teams and logistics including registrations.
- Strong project management skills, with the ability to manage multiple projects simultaneously.
MARKETING & COMMUNICATION:
- Coordinate the development of marketing materials, including invitations, event programs, digital content, and speaker notes.
- Create marketing campaign codes to track event production.
- Creation of event overview communication to internal stakeholders.
- Develop post-event marketing reports to assess the impact of event campaigns.
- Main point of contact for planning committee, attendees, exhibitors, sponsors, event facility,
GO-TO-MARKET STRATEGY SUPPORT:
- Ensure event aligns with corporate goals, target audiences, and new market opportunities.
- Assist in identifying sponsorship opportunities and managing partnerships with relevant industry partners.
LOGISTICS & OPERATIONS:
- Manage the end-to-end logistics of event setup, including packing/ shipping materials, on-site staffing, and venue preparations.
- Coordinate registrations processes, including attendee communications and follow-ups.
REPORTING & ANALYSIS
- Collect and analyze event data, including attendance, engagement, and participant feedback.
- Prepare detailed post-event reports for management, providing insights for future event improvements.
- Help track KPIs related to event success and ROI.
WORK ENVIRONMENT:
- This individual must work well in a rapid-paced environment.
REQUIREMENTS
- Microsoft Office, Salesforce
QUALIFICATIONS
- Bachelor’s degree in Marketing, Communications, or business-related field is required.
- Ability to travel up to 20% of the time.
- Minimum of 3-5 years of experience in event planning and coordination, preferably in the financial services sector.
- Proven ability to manage multiple projects simultaneously and work under tight deadlines.
- Evidence of dependability, accuracy, attention to detail, critical thinking, meeting deadlines, and project management and problem-solving skills.
- Effective communication and interpersonal skills necessary to establish and maintain effective working relationships.
- Experience with budgeting, vendor management, and contract negotiations.
