Job description

Position Summary

Under direct supervision of the Manager, Legal Operations, the Contracts Coordinator and Legal Assistant provides support to higher level staff, handles various administrative tasks related to contracts submitted for legal review, provides program contract management for assigned programs, and State and Federal compliance for credentials programs; and is responsible for overseeing the contract workflow for National University contracts submitted for legal review, managing the legal queue, reviewing contracts for completeness and accuracy and preparing them for legal review. The Contracts Coordinator/Legal Assistant also will have responsibility for validating all new companies entered into the Contract Management System and assisting with the creation and management of contract templates.

The Contracts Coordinator/Legal Assistant will coordinate with National University’s Procurement, Legal, IT, and Accounts Payable departments to ensure the System’s operational requirements are met by contracts submitted for approval. The Contracts Coordinator/Legal Assistant will assist with the administration, support, and training for the Agiloft contract management system. The Contracts Coordinator/Legal Assistant will adhere to all regulatory and compliance requirements, including Family Educational Rights and Privacy Act (FERPA) guidelines and will ensure all confidential data and documents are protected and appropriately maintained.

In addition, the Contracts Coordinator/Legal Assistant will provide support to higher level legal staff across legal practice areas, including but not limited to:

  • monitor Legal and Agiloft email accounts and delegate action items
  • assist with implementation and management of legal matter management system
  • assist with information gathering for insurance renewals and nationwide fundraising registration renewals

Essential Functions:

  • Assist the School of Health Professions and Sanford College of Education with contract management.
  • Validate business names of all contracting parties in contracts submitted to Agiloft via the applicable Secretary of State website or using online research.
  • Ensure contract managers and staff involved with contracts follow National University policies and procedures for contract administration and document management.
  • Other Legal Department job-related duties as assigned, including but not limited to, serve as coordinator of incoming contracts for Legal Department approval and assist Manager, Legal Operations with ad hoc projects as assigned.

Requirements:

Education & Experience:

  • A minimum of three years’ related experience in a professional environment, including general office administration, administrative assistant duties, and customer relations.
  • Associate degree in law/legal related, Policy, and/or Business Administration required.
  • A bachelor’s degree in law/legal related, Policy, and/or Business Administration strongly preferred. Progress towards earning a bachelor's degree in business administration or legal services, or an equivalent combination of education and experience will be considered.
  • Interested in contracts, contract governance, contractual language, and the contract lifecycle.
  • Experience and training in Agiloft or other contract lifecycle management system (CLM) a plus.

  • Proficiency in using Microsoft Office Suite Applications such as Word, Excel, Power Point, Outlook. Willing to train on Enterprise Resource Planning (ERP) software such as Agiloft.
  • Effective human relations, communication, problem-solving and critical thinking skills. Ability to handle confidential information with tact and discretion.
  • Ability to effectively communicate with a wide range of constituencies in a diverse community. Ability to handle public relations and client relationships with successful presentation skills.
  • Strong grammar, spelling, and written compositional skills in English. Proofreading skills a plus.
  • Work independently as a self-starter and foster a cooperative spirit within a large and/or small team of diverse cultures, while working in a fast-paced environment with multiple deadlines and frequently changing priorities.

Candidate receiving offers will be offered a salary/pay rate commensurate with experience that vary based on a candidate’s qualifications, skills, and competencies.  Absent exceptional circumstances, candidates will be offered a salary within this range for this position. The minimum salary will be offered based on the minimum exemption threshold based on state of residency. Compensation Range:

Hourly: $28.86 - $35.52
