Job description

We're looking for an innovative Executive Coordinator with a unique combination of skills who wants to play a major role in tackling climate change.


You’ll be joining our CEO Office who are currently a 4 person team, including the CEO, Chief of Staff, Executive Assistant and Senior JEDI Lead. Our team is based in Europe working globally across time zones. The role reports to the Chief of Staff. You will be supporting coordination between the Executive Management Team, liaising with the Network Leadership Team of the Global Strategic Communications Council (GSCC) and engaging with multiple teams and programmes in Meliore, working with internal and external stakeholders across the entire portfolio of the CEO.

How you’ll contribute


The role of Executive Coordinator will play a key role in supporting the functioning of the CEO Office in the following key areas:


Coordination of the Executive Office

  • Efficient operational coordination of the Executive office;
  • Management of communication and information-sharing between the CEO Office and the Network, ensuring a smooth, effective and efficient internal collaboration and information flow between the Executive office, the Executive Management Team and other stakeholders, both internal and external;
  • Support the CEO and Chief of Staff on research, content development and outreach to key stakeholders, ensuring preparation and follow-up of the CEO’s meetings, including producing briefing materials;
  • Maintain an overview of work, priorities and operational workload of the CEO, including inbox management systems; plan and advise on the best use of the CEO’s time, in collaboration with the Executive Assistant and the Chief of Staff;
  • Engage with internal staff and external partners to track priorities and issues, and incorporate into the CEO’s strategic plan accordingly.


Communication between the Executive office and the Leadership Team Office

  • Ensure continuous, close and proactive collaboration with the Leadership Team Office (LTO), working closely with the LTO Coordinator
  • Facilitate information flows with the Executive Management Team, structure and manage knowledge sharing, and ensure smooth overall coordination and collaboration, such as tracking actions, convening discussions, managing collection of information to inform decision making, etc.
  • Work with the Governance Coordination team on Meliore Governing Board and Advisory Board requests.


Funder Engagement

  • Support the CEO and the Chief of Staff on strategic partner engagement and planning along with the Executive Assistant


Meliore Programmes Engagement

  • Support the CEO and Chief of Staff on Meliore Programme Management


Our ideal candidate has

  • A genuine interest in the mission and values of the Meliore Foundation;
  • Significant proven experience in a similar role, working for a busy principal, with a high level of expertise in meeting coordination and stakeholder management;
  • Excellent skills in planning, project management with outstanding prioritisation and time management skills and the flexibility to effectively deal with shifting requests;
  • Able to work independently with a proactive and hands-on attitude and creative problem-solving skills;
  • Ability to translate strategy and ideas into tangible objectives, tasks and action points;
  • Ability to work under time pressure but also take responsibility for slower-moving work pieces;
  • Excellent attention to detail, diligence and reliability;
  • Tactful with colleagues and discrete with high-level information;
  • Fluency in written and spoken English, our working language; additional languages are an asset;
  • High-quality writing skills;
  • The disposition to work generously with colleagues in a high-trust global community of peers;
  • The versatile and adaptable skills necessary to flourish in a fast-paced and wide-ranging work environment and work across time zones using tools such as Zoom, Slack and email (Google Workspace);
