Job description

• YOUR goal is to “BUY BACK OUR TIME” of two busy doctors and founders of Rock Melan, the worlds first premium skincare brand for skin of colour. Our aim is to hire somebody long term who is very EFFICIENT and Proficient. Please do not apply if you cannot work quickly and efficiently and cannot communicate in English at a HIGH level and needs to have a high attention to detail
• Daily sync meetings (9am for 30- 40 mins) which is to be run by you, with a strict structure to discuss our offload tasks daily, project updates, email GPS review and calendar.
• Full email management for two founders with a systemised folder system ‘called our email GPS’ based off “Dan Martell’s method”
• Full calendar management: scheduling, invites, and organizing Zoom meetings with links on AEST. Effortlessly can work with Sanam and Gobi’s calendars. Able to use our color coded system we have in place. Able to create meeting notes and links and tips in calendar (USE APPLE cal or ical but needs to be able to sync our gmail with this too)
• order groceries weekly online
• use ical, email, 1 pass and Trello daily
• arrange dog sitters, liaise with house cleaners or tradespeople.
• Arrange quotes (5-10) for builders/tradespeople in Australia for personal home items (via email and phone) and arrange them within our calendar without our personal input
• Weekly grocery shopping and check-ins with both founders to confirm the shopping list before our meal prepper arrives on Saturday
• Communicate via WhatsApp for urgent project updates on a daily basis and follow our SOP for this (checked at 2 times per day to ensure nothing is missed)
• Research options for our business and handle both personal and business tasks. Build excel spreadsheets comparing quotes and deliverables • Assist with hiring content creators, videographers, models, social media managers, influencers.
• Influencer management – communicate with influencers on our behalf to negotiate rates, respond to them with our templates AND be able to learn our responses
• Proficient in: o Trello, 1Password o Apple & Google Calendar o Google Drive, Docs, Sheets o Zoom and screen recording software
• Screen record your workflows for onboarding future hires.
• Update and use our GOOGLE DRIVE daily
• Book overseas flights + hotels without errors
• schedule social media posts using tiktok and metabusiness planner tools
• be able to create eyecatching graphics for documents (e.g. media kit for influencers, education cards for influencers, posters for upcoming events we host in person, social media posts for giveaways or announcements, create YOUTUBE catchy thumbnails, timestamps and post to youtube our content)
• some customer service skills – replying to messages that are urgent on our behalf Ideal Candidate:
• Independent worker who does not require frequent supervision or micro-managing.
• Capable of anticipating issues with calendars or emails and solving them proactively rather than needing micromanaging or approval by us for everything
