Job Title: Executive Assistant to the Managing Director of Public Engagement

Location: Remote (San Francisco, CA)

Compensation: $50-55 per hour, based on experience

Overview

We are in search of an outstanding Executive Assistant to provide essential support to the Managing Director of Public Engagement. This pivotal role is integral to ensuring the efficient function of the office and the effective management of the Director’s daily operations. The ideal candidate will demonstrate exceptional organizational abilities, a commitment to confidentiality, and the professionalism necessary to excel in a fast-paced environment. Key Responsibilities

  • Manage the calendar of the Managing Director, coordinating meetings, appointments, and events to optimize time management and prioritization.
  • Organize travel logistics, including booking transportation and accommodations, and preparing detailed itineraries.
  • Craft meeting materials, presentations, reports, and correspondence on behalf of the Managing Director.
  • Maintain organized and efficient filing systems, ensuring confidentiality and easy access to documents.
  • Monitor and address emails, phone calls, and other communications, prioritizing urgent matters.
  • Assist in tracking major public engagement projects, ensuring compliance with deadlines and deliverables.
  • Collaborate with internal teams and external partners to support project execution and event planning.
  • Provide logistical assistance for public engagement programs and high-profile community events.
  • Compile and analyze data for reports and presentations.
  • Serve as the primary contact for the Managing Director, building strong relationships with internal teams and external stakeholders.
  • Coordinate public engagement meetings and initiatives with various stakeholders, including government officials and community partners.
  • Manage office organization, including inventory and procurement of supplies.
  • Oversee budget tracking related to departmental expenses, ensuring financial guidelines are respected.
  • Support the Managing Director with additional tasks, such as expense reporting and invoice processing.

Qualifications

  • Bachelor’s degree in business administration, communications, public relations, or a related discipline preferred.
  • Minimum of 3 years of experience in providing executive-level administrative support, preferably within nonprofit, government, or public relations environments.
  • Exemplary organizational skills, with a keen eye for detail and the ability to juggle multiple tasks efficiently.
  • Strong written and verbal communication skills.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiar with project management tools.
  • Excellent interpersonal skills, with the ability to engage effectively with diverse groups.
  • Experience in event planning, public engagement, or community relations is highly valued.
  • Capacity to exercise sound judgment, maintain confidentiality, and handle sensitive information with discretion.
  • Adaptable and proactive, demonstrating a problem-solving mindset.
