We are looking for an Executive Assistant who can use their business knowledge and professionalism to support the team by coordinating and ensuring office efficiency for the VP. This position can be located in the Basking Ridge, NJ office or 140 West New York NY.

What you'll be doing:
  • Managing and maintaining a senior executive's complex calendar with constantly changing priorities, while maintaining sensitivity, including scheduling meetings and appointments without clearance on occasion.

  • Arranging travel and hotel accommodations, as necessary.

  • Organizing and coordinating the operation of an office, overseeing and managing the provisioning of supplies, equipment and services that enable the staff to perform their jobs effectively.

  • Establishing and communicating procedures used in day-to-day operations and making revisions as appropriate.

  • Processing departmental expenses and limited budget oversight.

  • Preparing documents including customized reports, presentations, proposals and correspondence. Using discretion with regard to formatting and layout.

  • Performing routine administrative functions, such as responding to inquiries with standard letters or arranging meetings and conferences.

  • Screening telephone calls and visitors, ascertaining who can be redirected to subordinate managers or other offices.

  • Gaining thorough knowledge of the Executive’s span of control, as well as, company policies and procedures. 

  • Leading and/or participating in short-term projects that are relatively small in scope.

  • Developing processes for maintaining departmental records and training other administrative personnel on procedures.

  • Providing onsite support for company events and meetings.

What we’re looking for:

You'll need to have:
  • Bachelor's degree or one or more years of work experience.

  • Project management experience.

  • Experience supporting a senior executive.

Even better if you have one or more of the following:
  • Three or more years of administrative experience.

  • Strong proficiency with Google Suite (Docs, Slides, Sheets), Microsoft Office (Word, PowerPoint, Excel), and Slack.

  • Are organized, detail-oriented, and thrive on resolving operational challenges that come your way.

  • Strong verbal and written communication skills.

  • Ability to work well independently and under pressure.

  • Willingness to work overtime; available evenings and/or weekends if needed.

Where you’ll be working
In this hybrid role, you'll have a defined work location that includes work from home and a minimum eight assigned office days per month that will be set by your manager.

If you are hired into a California, Colorado, Connecticut, Hawaii, Maryland, Nevada, New York, Rhode Island, Washington or Washington, D.C. work location, the compensation range for this position is between $63,000.00 and $117,000.00 annually based on a full-time schedule. The salary will vary depending on your location and confirmed job-related skills and experience. This is an incentive based position with the potential to earn more. For part time roles, your compensation will be adjusted to reflect your hours.
