Position Title: HR Specialist  
Position Location: Remote - work virtually from anywhere in the United States

JOB SUMMARY
The HR Specialist will play a critical role in attracting top talent to join our dynamic team. They will be responsible for managing the full hiring cycle, from sourcing candidates to onboarding new hires, while maintaining a focus on delivering a high-quality candidate experience.

This role requires an understanding of the consulting engineering industry and a passion for hiring specialized talent in areas such as electrical, mechanical, and architectural engineering, construction management, building automation systems, and commissioning.  The HR Specialist should be able to attract candidates using various sources, like passive recruiting, social media networks and employee referrals.  A successful HR Specialist will collaborate with hiring managers on a regular basis to communicate the status of openings and ensure hiring needs are met.

The HR Specialist will receive limited direction on day-to-day work and general instruction on new projects or assignments.  Will execute and assist project leadership on projects of complex scope.  Will work independently or under limited supervision.

This person will communicate and operate in line with organizational goals and values, as well as departmental objectives.

ESSENTIAL FUNCTIONS
Manage Full Cycle Hiring Process for Professional Services Organization
  • Talent Acquisition: Develop and implement hiring strategies to attract qualified candidates
  • Candidate Sourcing: Source candidates through various channels, including applicant tracking system, online job boards, LinkedIn, industry events, recruiting partners and career fairs.
  • Screening & Interviewing: Review resumes, select qualified individuals, conduct initial phone screens, and coordinate interviews with interviewers.  Assess candidates for both technical skills and cultural fit.
  • Assist with Interview Preparation: Assist with the preparation of interview questions, guidelines, and other hiring and selection materials. Provide interview training to hiring managers and ensure consistent, structured interviewing practices.
  • Pipeline Development: Build and maintain a pipeline of qualified candidates for future roles, staying in touch with candidates.
  • Collaboration: Work closely with directors and hiring managers to understand their staffing needs and help shape job descriptions, interview processes, and candidate evaluation.
  • Candidate Experience: Ensure a positive candidate experience through timely clear communication, feedback, and a streamlined hiring process.
  • Offer Letters: Assist in the preparation of offer letters, working closely with hiring managers to ensure competitive and accurate offers. Coordinate approvals and ensure timely communication with candidates during the offer stage.
  • Compliance: Ensure compliance with federal, state, and local employment laws and regulations as well as company policies during all recruitment, hiring, and employment processes.
  • Coordinate with External Recruiters: Coordinate with external recruiters and staffing agencies as needed, managing relationships and ensuring alignment with company hiring needs and policies.
  • Onboarding: Collaborate with HR to ensure smooth onboarding for new hires, including coordination of pre-employment requirements and orientation processes.
  • Diversity & Inclusion: Promote and implement diversity and inclusion initiatives to ensure diverse candidate pools and hiring practices.

Reporting / Administration
  • Applicant Tracking System (ATS) Management: Assist in managing and maintaining the recruitment module within the Applicant Tracking System (ATS) and HRIS to ensure accurate candidate tracking and data integrity.
  • Materials Development: Create and update hiring materials, ensuring consistency and alignment with the company’s hiring needs and brand.
  • Candidate Tracking: Monitor candidate progress through the ATS/HRIS, utilizing additional tracking tools and methods as needed to ensure a streamlined hiring process.
  • Hiring Metrics Reporting: Generate and provide detailed reports on hiring metrics, such as time-to-fill, cost-per-hire, and source effectiveness, for hiring managers and senior management.
  • Process Improvement: Review and update hiring processes regularly to improve efficiency and compliance with company policies and best practices.

Completion of Assigned Tasks and Deliverables on Time and on Budget

Requirements
POSITION REQUIREMENTS (INTERMEDIATE LEVEL FOR ALL THE FOLLOWING)
  • Knowledge of principles, procedures and best practices for personnel hiring, recruitment, sourcing and selection
  • Knowledge of social media recruiting
  • Skilled at hiring / recruiting engineering candidates
  • Skilled at using passive recruiting platforms such as LinkedIn
  • Skilled at using MS Office Suite (Excel, Word, Outlook, PowerPoint, Teams), along with exceptional organizational skills for file management
  • Skilled in interviewing entry level through director level candidates in a professional manner while conveying company values and culture
  • Skilled in completing assignments accurately and with attention to detail
  • Organizational skills, with the ability to manage multiple tasks simultaneously
  • Proficiency with or the ability to quickly learn the organization’s HRIS and talent management systems
  • Ability to work non-traditional hours to accommodate hiring needs
  • Ability to work successfully in a remote environment thru effective communication and organizational skills, self-motivation, proactiveness and resourcefulness in a distraction free workspace
  • Ability to maintain confidentiality
  • Ability to actively listen, taking time to understand the points being made and asking questions
  • Ability to identify and evaluate candidate hard and soft skills when hiring
  • Ability to establish and maintain collaborative relationships with colleagues, coworkers, clients, vendors
  • Ability to accurately prepare and maintain records, files, reports and correspondence
  • Ability to communicate effectively in both oral and written form (technical and non-technical information)
  • Ability to work successfully as a member of a team and independently with moderate supervision
  • Ability to work under pressure and meet close deadlines

EDUCATION / EXPERIENCE REQUIREMENTS
  • Bachelor’s degree in human resources, business or related field
PLUS
  • Minimum of five years of experience in a professional services organization
  • Minimum of two years of recruiting experience for engineering roles
