We are on the lookout for a motivated Event Coordinator to represent our Event team. Your primary objective will be to curate exceptional and enjoyable experiences for a wide array of groups—from corporate teams and tour groups to kids’ STEM programming and birthday celebrations—while building enduring relationships with our clients. This role demands excellent verbal and written communication skills, alongside proficiency in event management software. You will be responsible for overseeing the entire event sales cycle, covering everything from managing inquiries and finalizing sales to executing contracts and processing payments. Reporting directly to the General Manager and collaborating closely with our Regional Event Sales Manager, your core tasks will include:

  • Delivering outstanding customer service throughout the event process, encompassing menu and event development, negotiations, planning, execution, and post-event follow-up.
  • Working closely with clients to collect essential details, ensuring all event setup and execution particulars are accurately relayed to the management and operations teams.
  • Managing all correspondence (both internal and external), handling payment processing, and preparing Banquet Event Orders (BEOs) promptly.
  • Assisting clients with order placement and confirmation, communicating event specifics, and providing on-site support as necessary.
  • Overseeing on-site event execution, including installation, delivery, setup, and event wrap-up when required.
  • Conducting venue tours for prospective clients.
  • Supporting local marketing initiatives, including partnerships, influencer outreach, and promotional endeavors.

Required Skills

  • A minimum of 2 years of experience in a related field, such as guest relations, retail, hospitality, or administrative roles.
  • Highly self-driven, diligent, and eager to learn and grow on a daily basis.
  • Strong follow-through skills with a dedication to owning the sales process from start to finish.
  • Proficiency in various software platforms.
  • Detail-oriented, particularly in event planning, contract management, and payment processing.
  • Exceptional communication skills, both written and verbal.
  • A positive mindset in line with our core values: responsibility, innovation, and fun.
  • Familiarity with CRM platforms such as Salesforce or TripleSeat is advantageous.
