Job Overview

We are currently in search of a dedicated and experienced Litigation Legal Secretary to join our esteemed Litigation Practice Group at our Sacramento office. This full-time position offers the flexibility of a hybrid work schedule, allowing you to work three days in the office and two days remotely. As a key member of our team, you will play a vital role in ensuring the smooth operation of our litigation processes, all while delivering exceptional client service.

Key Responsibilities

  • Oversee calendar management, including scheduling conferences, depositions, and travel arrangements, while monitoring critical court appearance dates and filing requirements.
  • Manage document production, ensuring accurate formatting, editing, and timely completion of essential case preparation materials.
  • Prepare and file documents for state and federal court, as well as manage arbitration, mediation, and other legal proceedings.
  • Handle communication tasks, including drafting correspondence, collecting information, and coordinating court-related logistics.
  • Maintain organized client and general files, both in hard copy and electronic formats, ensuring confidentiality and accessibility.
  • Provide outstanding client service, acting as a liaison between clients and attorneys, while maintaining professionalism at all times.
  • Assist in time entry and billing processes to ensure accurate client invoicing.
  • Support the continuous education of attorneys by managing their MCLE requirements and related obligations.
  • Carry out additional responsibilities as assigned, contributing to the team’s overall efficiency and success.

Required Skills

  • Minimum of 7 years of legal secretary experience, particularly within civil litigation, coupled with comprehensive knowledge of state and federal filing procedures.
  • Proficient in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and familiar with document management systems.
  • Strong drafting, proofreading, and analytical skills, along with the ability to multitask effectively in a fast-paced environment.
  • Exceptional attention to detail, problem-solving capabilities, and stress management skills.
  • Strong client-focused mindset with superior interpersonal communication skills.

Qualifications

  • A minimum of 7 years of experience as a legal secretary, specifically in civil litigation.
  • Advanced knowledge of court procedures, including e-filing systems such as Pacer, CM/ECF, and EEOC Portal.
  • Ability to work independently and proactively meet the needs of attorneys.
