Job Overview

We are on the lookout for a meticulous and proactive Administrative and Finance Assistant to join our dynamic team. In this pivotal role, you will deliver essential administrative and financial assistance, contributing to the seamless operation of our organization. Your strong organizational acumen and financial expertise will be crucial as you engage in various responsibilities, such as office administration, budgeting, invoicing, and maintaining financial records. This position offers a hybrid work model, allowing for both in-office and remote work options, with flexibility to accommodate personal preferences.

Key Responsibilities

  • Provide comprehensive administrative support to the CEO and team members.
  • Execute general office tasks, including managing phone calls and responding to emails promptly.
  • Coordinate meetings, appointments, and travel arrangements efficiently.
  • Maintain an organized inventory of office supplies and equipment, replenishing as necessary.
  • Ensure systematic organization of both digital and physical office files for easy access.
  • Juggle multiple priorities in a fast-paced setting while demonstrating exceptional attention to detail.
  • Address vendor and customer inquiries regarding payments and invoices in a professional manner.
  • Assist in vendor verification to ensure adherence to company policies and procedures.
  • Upload and manage vendor invoices within the accounting system, ensuring all necessary documentation is in place.
  • Support credit card reconciliation by accurately matching transactions with receipts.
  • Organize and manage incoming mail correspondence to uphold proper record-keeping.
  • Prepare essential documentation and reports to assist with audits.
  • Collaborate with the finance team on various administrative tasks as required.

Required Skills

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with accounting software (e.g., QuickBooks, SAP).
  • Strong organizational abilities paired with a keen eye for detail.
  • Exceptional written and verbal communication skills.
  • Capacity to maintain confidentiality regarding sensitive information.
  • Experience in bookkeeping and financial processes is an advantage.

Qualifications

  • An Associate's degree in Business Administration, Finance, Accounting, or a related field is essential; a Bachelor's degree is preferred.
