The Opportunity:

The Benefits Analyst is responsible for overseeing and coordinating the day-to-day administration of Ensemble’s corporate health and welfare benefit programs including advising employees and beneficiaries on available benefits, making recommendations related to benefit offerings and administrative processes, and providing technical direction to other benefits team members. This role will effectively manage vendor relationships and provide support to overall plan design, implementation, communications, maintenance, and compliance with state and federal regulations.

Job Responsibilities:

  • Manage benefits inbox and ticketing system. Assist associates with Tier 2 benefits plan questions, eligibly, claim issues and plan changes
  • Monitor enrollments, changes, and terminations to ensure elections are properly maintained
  • Process associate life events, review administrative appeal requests and escalate to benefits leader as needed
  • Partner with benefit vendors to research and resolve claims escalations and other associate support needs. Administer employer benefit portals, process urgent enrollments
  • Manage and audit Life Insurance EOI approvals. Process Life Insurance claims and support associates and/or family members
  • Manage and administer benefit programs such as COBRA, FSA, HSA, Tuition Reimbursement and Adoption Assistance
  • Audit and reconcile employee HSA and FSA contributions to ensure accuracy of payroll and vendor systems. Coordinate with payroll team and vendors as needed to resolve discrepancies and process corrections, deductions or reimbursements. Serve as back up to prepare and approve funding for biweekly HSA contributions
  • Ensure benefit deductions are properly maintained. Perform reconciliations between payroll, benefit elections and vendor enrollments, including review of vendor discrepancy reports
  • Partner with payroll and HRTS to identify data issues and trouble shoot resolution
  • Support administration of Time Off programs. Partner with the Absence Team to ensure proper treatment of benefits and premium collections for associates on leave
  • Perform routine compliance related tasks such as CMS filing, FSA non-discrimination testing, and annual notices. Manage the ACA administration and reporting process, support 1095-C distribution and other compliance related tasks
  • Research and resolve retirement plan associate inquiries or plan related issues. Monitor retirement plan limits, eligibility and other restrictions on plan participation to ensure compliance with both plan provisions and government requirements
  • Ensure timely and accurate submission of the 401(k) inbound and outbound interfaces. Reconcile error/exception reports from the retirement plans record keeper. Partner with payroll, recordkeeper and consultant on resolution as needed. May prepare and process funding for biweekly associate and annual employer contributions
  • Identify opportunities for process improvement across benefits administration and service practices. Optimize practices and leverage technology for efficiency, feasibility, and scalability. Document and monitor processes and procedures
  • Support coordination and implementation of new programs and policies, build vendor relationship Support the review and creation of materials for new plan year including but not limited to benefits guide, recruiting and onboarding materials, and company intranet site. Support coordination and distribution of enrollment materials, annual notices, and other important communications
  • Support engagement and wellbeing campaigns, events, and administration of company wellbeing initiatives
  • Provide support for annual open enrollment other ad hoc initiatives and projects. Conduct benefits open enrollment meetings, new hire training, and other benefit education
  • Support completion of benchmark surveys
  • Serve as the benefits expert and liaison to our HR Business Partners, HR Service Center and Talent Acquisition teams
