THE ROLE


As the Associate Chief of Staff (ACoS), your primary focus will be to shadow the Chief of Staff (CoS), gaining hands-on experience while providing operational support across the business. This role is a critical stepping stone toward advancing into the CoS role, as part of our leadership development program, which creates a revolving structure where two individuals are always in place to ensure continuity and efficiency in leadership.


In this role, you will assist the CoS in supporting the CEO and executive leadership, with responsibilities spanning strategy, project management, and operational oversight. You will manage a variety of critical tasks such as day-to-day execution of strategic initiatives, operational functions, and supporting cross-departmental collaboration. The ACoS will also take ownership of key operational tasks to free the CoS for higher-level strategy and planning.


This is a highly entrepreneurial role requiring someone who can work in a dynamic, fast-paced environment and take on responsibilities beyond their immediate expertise. As an infinite learner, you will immerse yourself in every aspect of the organization, while preparing to advance into the CoS role, at which point the current CoS will transition into another strategic position within the business.



RESPONSIBILITIES


  • Work closely with the Chief of Staff to learn the intricacies of the role, gaining insight into high-level strategy and decision-making processes. Assist in managing day-to-day operations, key projects, and leadership priorities.
  • Take ownership of critical operational responsibilities such as managing cross-departmental communication, ensuring the execution of strategic priorities, and facilitating effective leadership meetings.
  • Lead high-priority projects and initiatives, collaborating with various departments to ensure timely completion and alignment with company goals. Support the CoS in executing company-wide OKRs and KPIs.
  • Serve as a point of escalation for operational and cross-functional challenges, providing solutions and bringing recommendations to the CoS and leadership team.
  • Prepare for eventual transition into the CoS role by managing cross-functional teams, learning how to align business operations with executive strategy, and gaining expertise in managing the CEO’s time and priorities.
  • Assist the CoS in driving performance management, talent mapping, and leadership development initiatives across the organization. Ensure a collaborative and results-driven company culture.
  • Develop synergy across business units, including operations, finance, marketing, and organizational design. Work closely with executives to ensure flawless execution in all areas of responsibility.
  • Lead and support high-impact, cross-functional projects that require collaboration across the company’s various departments. These initiatives may include new market expansion, internal organizational restructuring, or operational improvements.
  • Ensure efficiency and effectiveness in leadership meetings by managing agendas, guiding discussions, documenting action items, and ensuring follow-through on deliverables.
  • Assist with coordinating and executing complex travel arrangements for the principal, ensuring all details are handled seamlessly. This includes managing itineraries, accommodations, and transportation to optimize time and efficiency.
  • Assist with the personal and professional needs of the principal, ensuring maximum efficiency in their day-to-day operations. This includes proactively identifying and solving potential issues, ensuring that the principal’s schedule and personal requirements are managed effectively and without disruption.

REQUIREMENTS


  • Proven experience in an operational or project management role, with exposure to strategy, operations, and executive team support.
  • Experience in a high-growth, fast-paced environment, preferably reporting to a founder or entrepreneur.
  • Strong project management and data analytics skills, with a history of managing complex, cross-departmental initiatives.
  • Ability to manage and organize executive teams, serving as a key point of contact for leadership while driving operational efficiency.
  • Experience in talent management, performance systems, and leadership development within a multi-business structure.
  • Ability to thrive in a high-pressure, fast-paced environment, while managing multiple responsibilities and meeting tight deadlines.
  • Strong interpersonal skills: persuasive, influential, and able to motivate others. Capable of managing relationships across departments and driving teams to meet critical goals.
  • Proficient in Microsoft O365, G Suite, and project management tools such as Asana or Trello.
  • Willingness to work outside of business hours, including late evenings and weekends, when necessary.
