The Contract Guidance Specialist is a key member of the Contract Guidance & Enablement team within the GBS (Global Business Services) – Compliance, Legal and Contracting Operations (CLCO) group at AstraZeneca. This role is primarily responsible for providing guide support in the management of AstraZeneca’s engagement with third parties for the purposes of external services and teamworks.  The Contract Guidance Specialist will play a crucial role in overseeing the technical and administrative aspects of the end-to-end contracting process, ensuring efficient routing within the organization.  Key responsibilities will include delivering External Experts Engagement Services (E3S) support, maintaining the triage/intake form, decision tree routing, and providing strategic support with global coverage. The Contract Guidance Specialist will also be responsible for maintaining governance, process documentation, and providing clear mentorship to collaborators.

A successful candidate will have a project management attitude with a focus on responsiveness, partnering to conduct operational tasks to ensure accuracy and completeness of requirements and will provide mentorship to partners (customers), management and peers.

Accountabilities

E3S Tech Solution

•           Own maintenance process for BOT automatization.

•           Dynamically maintain the source library.

•           Engaging with E3S, IT departments to successfully run changes.

•           Business partner relationship management.

Triage Form and Decision Tree Operations

•           Support efficient routing processes (eg. maintenance intake form questions and routing and updating with Service Now platform)

•           Support as the primary point of contact for queries relating to Contracting Services

•           Resolve appropriate partner concern of items to appropriate area bringing to bear playbooks and handle partner concerns process through resolution and approvals

•           Operation of process, governance and guidelines relating to Contracting, including documentation and communication

•           Handle timely delivery and resolution of ad hoc queries from customers.

•           Track and analyze patterns in received questions related to Contracting Services to ensure continuous improvement of operated processes and informative content on Contracting Services (e.g. supervising frequently asked questions)

•           Performance Management - update contracts management system with entries regarding work performed and review status. Monitors contracts request aging reporting, SLAs and follow-up

Contracting Portal

•           Participate in maintaining corporate contracting policies and guidelines, contract model forms and systems.

•           Promote and support Contracting Guidance Team activities

•           Change management for Contracting Guidance Team

Requirements

•           Bachelor’s Degree (general business, managed health care, legal or finance fields are preferred)

•           4 years of experience preferably in procurement, and/or legal areas.

•           Fluent English

•           Able to manage multiple priorities, work to deadlines and turnaround times, work well under pressure and adapt to ever-changing scenarios.

•           Strong attention to detail, communication, leadership, organizational, and problem-solving skills.

•           Capable of working independently but also take instruction and direction from others.

•           High ethical standards, credible, operating with absolute discretion.

•           Proactive and consultative customer service, having the ability to identify customer needs and respond creatively, listening to information, asking probing questions, applying knowledge, and determining solutions.

Desirable

•           An understanding of the bio-pharmaceutical market

•           Strong Project Management/Organization Skills

•           Previous contract development or related experience in the pharmaceutical/biotech or related industry.
