Summary of Job Duties:
The Project Coordinator works closely with the department administrator, faculty, and the administrative services manager to accomplish project goals. Under direction from the administrative services manager, the project specialist provides administrative and office support. The project coordinator must exude professionalism and have knowledge of general business, be proficient in Microsoft Office, and exhibit strong oral and written communication skills. This position requires a highly organized, reliable individual who possesses a very strong work ethic and ability to complete tasks independently in a timely professional manner.

Qualifications:
Bachelor's degree PLUS three (3) years of administrative, project management, or project coordination experience OR a high school diploma/GED PLUS seven (7) years of administrative, project management, or project coordination experience.
Knowledge, Skills & Abilities:
  • Must have excellent computer skills.
  • Proficient in Microsoft Office.
  • Ability to prepare reports.
  • Workday and UAMS travel and purchasing experience is preferred.


Additional Information:

Responsibilities:

Administrative and Faculty Support

  • Provides administrative support for faculty and the department administrator. Assists with preparation of P&T packets, letters of recommendation, and completion of reappointment paperwork as needed.
  • Acts as backup content management for the department website.
  • Responds to speaking engagement invitations and job shadowing requests. Prepares letters, documents, etc.

Travel and Financial

  • Oversees of travel and make travel arrangements for faculty within state guidelines.
  • Process reimbursements, purchase orders, and stockroom requisitions, and travel expenses for faculty and staff. Monitor purchasing and print jobs. Process lab/research orders.
  • Supports departmental purchasing needs/requests and backup support for Neurology and Spine Institute purchasing and travel.

Project Coordination:

  • Participates in team planning meetings and supports projects and special events from preliminary planning to implementation.
  • Provides logistical support for events including identifying and arranging event locations and vendors.
  • Provides oversight of purchasing, print, production, collating, mailing, and packaging of project materials.
  • Works closely with administrative services manager and other team members to monitor and accomplish all project goals.
  • Keeps track of project milestones and timelines.
  • Provides staff support to committees, including agenda preparation, scheduling, meeting minutes, and follow-up on next steps.
  • Other duties as assigned
