The Tribal Program supports tribes in asserting control over their energy resources and focuses on making project implementation feasible by leveraging state and federal programs, philanthropic dollars, and partnerships with other tribes across Indian County while working in alignment to identify, develop, finance and implement solar power projects that meet community needs, including education, hands-on training, and energy cost reductions for tribal members.

The Opportunity…

The Tribal Operations Officer position is located Remote and reports to the Co-Executive Director (Co-ED) of Implementation of the National Tribal Program, and will also work closely with the Co-ED of Development. The Tribal Executive Assistant provides administrative and special project assistance for the Co-Executive Director - Development, and Co-Executive Director - Implementation. The position is a great opportunity for a self-motivated person to support the National Tribal Program leadership and help the National Tribal Program continue to grow.

Core responsibilities include:

  • Help improve the efficiency and effectiveness of NTP’s leadership by taking the initiative to identify potential administrative roadblocks and then create solutions to manage and organize these areas of the Executives’ duties.
  • Manage and keep up-to-date schedules of both Co-ED’s, including complex scheduling with stakeholders within GRID Alternatives and high-level external partners; understanding priorities of each Co-ED and proactively identifying any conflicts or other issues.
  • Coordinate and complete travel arrangements for Co-ED’s
  • Administrative duties as assigned including timely completion of the Executives’ expense reports, preparation of slide decks, taking meeting notes, reimbursements, or other tasks as necessary.
  • Understand and support Co-ED of Development to implement the individual donor strategy by drafting email communications to individual donors, updating Salesforce records, and scheduling meetings/calls as needed
  • Design, use, and evaluate systems to track and manage follow-ups to specific key contacts using our SalesForce.com CRM database (includes the project management on behalf of the Executives of lists of individual donors, government contacts, etc).
  • Serve as liaison to the National Tribal Program Board of Directors. Provide staff support for meetings of the Board of Directors, including taking meeting minutes, preparing board packets, and arranging meeting logistics.
  • Provide staff support for key internal meetings (including All-Tribal Staff Meeting, and as necessary; GRID All Staff Meeting, HQ Staff Meeting, Executive Team, etc.) by working with meeting leads to set the agenda, taking meeting minutes and tracking key actions or final decisions.
  • Work with the Co-ED’s and other stakeholders to write and create internal communications that convey key internal messages and support NTP’s culture and values
  • Collaborate with other executive assistants across GRID Alternatives to execute administrative duties as needed. Act as leader amongst peers to support the growing team of admins at GRID Alternatives.
  • Work with Accounting, Operations, and Construction teams to track and maintain licenses as needed
  • Work directly with Tribal Operations Officer to assist in the development of supporting IT operations, managing IT-related trainings and programs
  • Assist in budgeting, accounting and other financial related activities managed at the Executive level for Co-ED’s
  • Provide project management alongside NTP leadership team to manage special projects as needed
  • Assist in developing program policies related to HR for NTP, which including managing signatures and ensuring the remain updated
  • Research and develop databases or documents to assist in specific projects or topics related to HR, non-profits, and other items as assigned
  • Coordinate and communicate with NTP’s administration staff during staff hiring to ensure alignment and onboarding occurs across the program. Support Co-ED’s with specific hires which includes communicating with People and Culture Department (Human Resources), managing process in Paycor, coordinating & communicating with potential candidates and scheduling interviews.
  • Support GRID’s EID work with the NTP staff and integrate in work-related tasks


I would be great if you also had...

  • Bachelor’s degree or at least 8 years of equivalent work experience in an administrative position
  • Experience with managing multiple requests and performing complicated tasks to resolve
  • Experience with renewable energy, affordable housing, and/or environment/environmental justice work
  • Experience in virtual/remote work environment
  • Experience and confidence in creating and managing processes, systems, and training staff for implementation
  • Experience working with Tribal-related projects, Tribal communities, and/or Tribal Governments.


Where you will sit and the places you may go…

This position may rarely require up to 25% out-of-town travel to regional offices and special projects such as company-wide celebrations, team building exercises, etc. Availability to work nights and weekends may very rarely be required.

GRID Alternatives may provide vehicles for work travel and/or travel reimbursement for personal vehicle use. In this instance, applicants must hold a valid driver’s license and have a good driving record.
