Job Overview:

We are seeking a detail-oriented and organized Medical Evidence Specialist Admin to join our team. This role is essential for ensuring that clients are scheduled appropriately for MES calls, fielding incoming emails to the MES team, managing reschedule requests, and conducting audits within our CRM systems. The ideal candidate will have excellent communication skills, a strong attention to detail, and the ability to multitask effectively.

Responsibilities:
  • Monitor incoming chats from MES nurses and Intake representatives for reschedule requests.
  • Use Zoho Bookings to reschedule clients.
  • Update client statuses in Zoho and Milo as needed.
  • Monitor the Milo inbox for reschedule requests from MES nurses and manage accordingly.
  • Check the MES email inbox regularly throughout each shift to ensure timely responses to client communications.
  • Prioritize emails from clients and address Zoho tag notifications promptly.
  • Handle reschedule requests and initiate closeout processes as needed, including completing escalation surveys and updating client statuses in both Zoho and Milo.
  • Review the daily call spreadsheet for dispositions, including no-shows, cancellations, and assigned calls.
  • Update Zoho and Milo statuses based on call outcomes (CME Call Complete, CME Paused, Scheduled).
  • Conduct Milo report audits, specifically the Transferred Report, to ensure timely updates on client statuses.
  • Review the Zoho dashboard for clients with multiple MES call appointments.
  • Confirm the correct appointment with clients when necessary and cancel duplicate bookings in Zoho Bookings.
  • Ensure all duplicate bookings are resolved by the end of each shift, unless awaiting client confirmation.
  • Assist in maintaining accurate records and data entry in CRM systems.
  • Collaborate with team members to improve scheduling processes and client communication.
Qualifications:
  • Authorized to work in the United States and not require work authorization sponsorship by our company for this position now or in the future.
  • High school diploma or equivalent; Bachelor’s degree in healthcare administration, business, or related field preferred.
  • 2+ years of relative experience.
  • Proficient in CRM systems, particularly Zoho and Milo, as well as Microsoft Office Suite.
  • Strong organizational and multitasking skills, with a keen attention to detail.
  • Excellent communication skills, both verbal and written.
  • Ability to work independently and as part of a team in a fast-paced environment.
