Summary of Job Duties:
The Program Manager of the Behavioral Health Service Line assists the Service Line Administrator and Department of Psychiatry Administrator with procurement and travel support for faculty, staff, programs and contracts/grants. The Program Manager exercises independent discretion and judgement to solve complex problems. The Program Manager must be self-motivated and highly organized with demonstrated ability to effectively manage multiple projects concurrently.

  • Bachelor's Degree PLUS four (4) years of project/program management experience

  • Proficiency in Microsoft Office Suite & Workday


Additional Information:

Responsibilities:

  • Stays informed of current UAMS procurement procedures and policies.

  • Serves as the resource for the service line and acts as a liaison with the UAMS procurement office for service line and department.

  • Informs executive leadership, faculty, staff, programs and inpatient units of changes.

  • Assists in training employees/co-workers who are new or re-learning UAMS procurement.

  • Enters and monitors a high volume of complex requisitions and annual contract/framework requisitions in Workday.

  • Tracks open requisitions, ensures proper delivery of orders, MIGO received items in Workday, finalizes vendor payment by submitting invoices to UAMS Accounts Payable, and builds/modifies par levels for programs. Responsible for procurement card (P-Card) management.

  • Works with UAMS vendor set-up and potential new vendors to ensure all required documentation is accurate and in compliance with UAMS.

  • Assists in tracking faculty and staff educational funds (e-funds). 

  • Ensures the appropriate service line or department approvals are in place prior to submitting requisitions.

  • Stays informed of current UAMS travel procedures and policies.

  • Responsible for the service line travel card (T-Card) – managing spending and reconciling every month.

  • Acts as the liaison with the UAMS travel office.

  • Informs executive leadership, faculty and staff of changes in policies.

  • Assists in training employees/co-workers who are new or relearning UAMS travel.

  • Prepares, books, monitors, and reconciles travel documents to finalize trips in Workday.

  • Assists faculty recruiting and guest speakers with travel accommodations, meals, fees, memberships and honorariums.

  • Completes new vendor setup in Payment Works system.

  • Works with vendor to finalize supply chain contracts. Submits contracts through the NTRACTS system for UAMS review/approval.

  • Creates Purchase Orders for these contracts.

  • Monitors timely invoicing and payment.

  • Other duties as assigned.
