We are currently in search of a dedicated and organized Office Coordinator & Scheduler to be a cornerstone of our operations. In this pivotal role, you will serve as the first point of contact for our valued customers, ensuring that our sales processes, measurements, installations, and service scheduling operate seamlessly. Your prior experience in scheduling will be instrumental in maintaining an organized and efficient calendar. Familiarity with Salesforce or MarketSharp is highly advantageous! Join us in our supportive office setting, where your contributions will significantly impact Maryland homeowners and our community.

Key Responsibilities

  • Act as the primary point of contact for incoming calls from both new and existing customers.
  • Efficiently manage and maintain the MarketSharp calendar.
  • Schedule measurements, installations, services, appointments, and meetings, and coordinate office staff time-off requests.
  • Provide support to sales efforts through quarterly follow-up calls and project follow-up calls to ensure a 5-star service rating.
  • Process leads from various sources including our website and phone calls, and create MarketSharp contact records.
  • Issue daily appointment reminders via text or email.
  • Input sold jobs into MarketSharp, including necessary documentation, and track job progress, resolving any processing issues as they emerge.
  • Assemble essential paperwork for installers or service technicians as required, including customer gift and warranty folders.
  • Maintain and distribute weekly reports on leads, sales, and installations.
  • Provide administrative assistance for the creation and updates of contracts, forms, and marketing materials.

Required Skills

  • A minimum of 2 years of scheduling experience, with a focus on customer service.
  • Proficiency in MS Office (Word and Excel), Google Sheets, Outlook, and MarketSharp (CRM).
  • Exceptional organizational skills and keen attention to detail.
  • Strong verbal and written communication abilities.

Qualifications

  • High school diploma or equivalent is required; additional education in business or related fields is a plus.
