Position Summary:
The Document Control Clerk for the Foster Care program will be responsible for maintaining accurate records, organizing essential documents, and ensuring compliance with all regulatory and internal documentation standards. This role is crucial in supporting the smooth operation of FLITE Center’s foster care program by ensuring that all case files and program documentation are up to date, securely stored, and easily accessible for program staff.

Key Responsibilities:

  • Document Management: Organize, maintain, and update physical and electronic records for the foster care program. Ensure that all documentation is stored securely and complies with confidentiality and regulatory requirements.
  • Compliance and Auditing: Assist in preparing for audits by ensuring that all files are in compliance with regulatory standards and internal guidelines. Conduct periodic reviews of documents to maintain accuracy and completeness.
  • Data Entry: Accurately input and update client information, case details, and other program-related data into the organization’s database systems.
  • Filing and Retrieval: Ensure that all documents are properly filed and can be quickly retrieved by authorized staff. Maintain an efficient filing system for case files and other program documentation.
  • Collaboration: Work closely with program staff, case managers, and external partners to ensure timely collection and organization of necessary documents. Respond to requests for documentation from internal teams or external stakeholders.
  • Reporting: Generate and maintain reports on documentation status, ensuring all necessary records are up to date and available for program use.
  • Administrative Support: Provide general clerical support, including copying, scanning, and preparing documents for meetings and program activities.

Qualifications:

  • High school diploma or equivalent (Associate’s degree preferred).
  • Minimum of 2 years of experience in document management, administrative support, or a similar role.
  • Strong attention to detail and organizational skills.
  • Experience working with confidential and sensitive information, with an understanding of data protection and privacy regulations.
  • Proficiency in Microsoft Office Suite and document management systems.
  • Excellent communication skills, both written and verbal.
  • Ability to prioritize tasks and manage time effectively in a fast-paced environment.
  • Familiarity with foster care or social services is a plus, but not required.
