POSITION TITLE: Coordinated Entry Specialist

LOCATION: Greenfield, MA 

STATUS: Non-Exempt

SUPERVISOR: CoC Compliance Manager 


POSITION SUMMARY

Coordinates the CoC’s Coordinated Entry system, a “no wrong door” system designed to connect individuals and families experiencing homelessness with housing options. This includes organizing case conferencing meetings with partners, conducting training for new partners, providing technical support to users, maintaining updated documents, and completing required reports. The CE Specialist also supports the work of the Compliance Manager by assisting with program compliance. The CE Specialist is an active member of the CoC staff team and works to support, enhance, and promote communication and consistency in the delivery of services.


ESSENTIAL RESPONSIBILITIES

  1. Manage all aspects of the Coordinated Entry System for the Three County CoC including ensuring compliance with policies and procedures governing assessment, eligibility determinations, and prioritization of housing assistance.  
  2. Facilitate Coordinated Entry case conferencing meetings in all three counties, including any population-specific workgroups. 
  3. Conduct training and provide technical support to users about Coordinated Entry.  
  4. Manage and track Emergency Housing Vouchers (EHV), including attending meetings with state partners and collaborating with housing agency partners.  
  5. Build strong relationships with funded/non- funded staff that work directly with people that are homeless to ensure supportive practices and responses; that they are informed on the HUD regulations for coordinated entry, CoC’s Policies and Procedures and YHDP expectations. 
  6. Assist with performance monitoring of funded sub-recipient partners. 
  7. Assist in developing and maintaining reporting, monitoring, and technical assistance procedures, program manuals, and CoC Charters.  
  8. Assist with special events including the Point-in-Time Count (PIT), the completion of the Housing Inventory Count (HIC), and organizing continuum-wide training opportunities in compliance with federal requirements.  
  9. Participate in the Western Mass Network to End Homelessness through meeting attendance and committee engagement, as directed by the CoC Director.  
  10. Inspire and motivate others to achieve increasing levels of performance excellence. 
  11. Take an active leadership role in valuing and promoting different perspectives and opinions and approaches. 
  12. Participate in CoC membership and CoC Board meetings, as needed, to provide leadership. 
  13. Staff CoC Committees as assigned by the Director. 
  14. Build and maintain strong relationships with community stakeholders and partners, funded and non-funded programs to further CoC goals, ensure supportive practices and responses to people who are experiencing homelessness are developed and maintained and HUD regulations are followed.  
  15. Represent the CoC at community meetings, coalitions, and conferences.  
  16. Work collaboratively with technical assistance providers.  
  17. Required to travel regularly throughout the CoC service area, to CAPV sites, and occasionally out of the service area.  
  18. Comply with agency and funders’ paperwork requirements and procedures.  
  19. Remote work available complying with the agency’s policy.  
  20. Attend regularly scheduled supervision meetings, department-wide and leadership team meetings, mandatory agency trainings, and participate in professional development activities. 
  21. Maintain strictest confidentiality. 
  22. Perform related work as required

  • Experience thinking creatively and strategically, setting program goals and steps to achieve them
  • Adapt to changing priorities and demonstrate close attention to details 
  • Proficient computer skills (Microsoft Suite and databases) 


To Qualify

Minimum Qualifications/Transferable Skills: 

  • 2 years' experience in human services working with low-income individuals or families and vulnerable populations; experience in an office setting including, data entry.
