Mission/Purpose

We’re seeking a highly motivated and resourceful Ecommerce Virtual Assistant to work directly with our CEO, Ciaran. Your role will be to streamline his professional and personal life, handling email and social media inboxes, scheduling meetings, planning travel logistics, and managing various personal and business-related tasks and operations. The ideal candidate will be proactive, organized, and comfortable managing multiple projects in a fast-paced environment.

Accountabilities:

  1. Email & Calendar Management: Prioritize and manage CEO's email inbox, schedule meetings, and coordinate off-site events. Ensure seamless coordination across Ciaran’s personal and professional commitments.
  2. Operational & Marketing Support: Assist with day-to-day business operations, including order management, customer support inquiries, coordinating with vendors, assisting with Shopify site updates, and posting on social media. Create SOPs for business processes.
  3. Research & Analysis: Conduct detailed research on software, products, suppliers, and business services. Analyze costs and make informed recommendations. 
  4. Project Management: Manage tasks from start to completion, track timelines, and follow up with the CEO and freelancers to ensure all deadlines are met. Help to hire and source talent for projects. 
  5. Travel & Logistics Coordination: Research and book flights, accommodations, and event logistics for business trips. Ensure travel is booked in the most cost-effective manner while meeting the needs of the CEO.
  6. Supplier & Vendor Communication: Manage communication with suppliers and vendors for ongoing projects and product development, ensuring clear and timely interactions.
  7. Customer Support: Take ad hoc customer calls and inquiries regarding products, shipping, and customer satisfaction (we have a CXS team, however there may be a need).

Skills & Experience:
  1. Proactive and Problem-Solving: Anticipates challenges and proactively solves them, improving processes without needing oversight.
  2. Excellent Time Management: Able to prioritize and execute tasks efficiently, handling multiple projects simultaneously.
  3. Strong Communicator: Capable of communicating clearly through email, Slack, and phone calls, while maintaining professionalism. Strong background in email & calendar management. C1 level English or better.
  4. Tech-Savvy: Comfortable with Google Workspace (Docs, Sheets, Calendar), project management tools like Asana, and messaging platforms like Slack and Gorgias.
  5. Experience in Ecommerce Operations: Proficient in Shopify, Klaviyo, Zapier with knowledge of order processing, customer inquiries, and social media management.

Bonus Skills (Not Required, but Nice to Have):

  • Experience with Meta, Gmass, ahrefs Google ads and other marketing platforms.
  • Familiarity with influencer outreach, rocketreach (email finder). 
  • Familiarity with international product sourcing and supplier communication (Alibaba, WeChat).
  • Graphic design experience 
  • Customer service phone support

Compensation and Growth
  • Starting at $6-12 per hour, depending on years of experience. Opportunities for increased pay and responsibilities based on performance.
  • 10-20 hours per week to start, with the goal of full-time as work is offloaded.
