ENTER THE GAME
The main purpose of this role is to calculate employees’ compensation, update the internal payroll database and ensures that payments are sent in a timely manner. The Payroll and HR Administration Manager is the data handler of Malta + International offices and provides a high level of customer service throughout all interactions with staff and managers, ensuring the accurate and timely resolution of issues and queries and provide monthly reports.

YOUR ROLE AT BETCLIC

In this context, your duties are:

Maintaining and Handling of HR, Payroll and Data Systems

  • Manage the employee onboarding process, working closely with departments such as IT, Office and Talent Acquisition teams, as well as HR, to ensure a smooth onboarding process.
  • Maintaining all employee’s data onto the HR software.
  • Ensuring and assisting employees that the annual Income Tax Declarations are submitted correctly.
  • Maintaining the employee journey and policy library on Confluence and the company’s intranet.

Payroll

  • Processing of salaries by the end of each month (or as when required) which include any adjustments, changes, salary increases, terminations, leave, bonuses etc. by using payroll software.
  • Calculation of bonuses and (allowances as and when required)
  • Scheduling bank payments, and foreign payments directly to employees
  • Issue of reports - leave, bonus, payroll, tax forms and tax statements.
  • Ensuring that wages and tax withholdings comply with current regulations.
  • Answering any questions about compensation, benefits, taxes and deductions.
  • Managing the Maternity leave and any other long absence process of staff.
  • Escalating any payroll issues with payroll software supplier.
  • Being the main point of contact with Payroll providers.

Employee Benefits

  • Ensuring and Monitoring that Employee Benefits submitted are according to the policy before pay-out.
  • Maintain and oversee Policies for Employee Benefits
  • Renew on a yearly basis the Company Health and Dental Insurance Scheme.
  • Maintain and coordinate with the assigned local bank for the Betclic Pension Scheme.
  • Maintain and liaise with the Insurers when needed.

HR Administrative and Data Duties

  • Monitoring and maintaining e the external consultants.
  • Updating and redrafting of consultancy agreements to ensure uniformity and consistency.
  • Ensuring that the Organisation Chart for the Malta and International offices are updated.
  • Present the HR Induction to new employees with the help of the Talent Acquisition Team.
  • Responsible for any internal changes in relation to drafting of addenda and promotional
  • Issue additional agreements or addenda in relation to an employee contract including any remote working documents.
  • Maintain and oversee Policies for the Payroll and Data Administration Team.
  • Managing the onboarding and offboarding data in the Taxis Management tool.
  • Be the first point of contract with the Business Controller for Finance Provisions and accounting/payroll related reports/requests.
  • Create, prepare and maintain employee books for Malta and International offices.
  • Assist in the yearly HR audits.
  • Act as a first point of contact for employee queries on compensation, benefits and all forms of absence management.

HR Management Functions

  • Participate in HR Management meetings and assist when needed.
  • Be knowledgeable on Malta + International Employment Law
  • Provide internal HR training about matters related to Payroll, Compensation and HR Administration.
  • Training new HODs and Managers on HR systems and Absences Management Policies.
  • Local Managers Onboarding: Conduct training to managers and HODs on a quarterly basis.
  • Provide monthly KPIs when required especially about the Internal Mobility and Benefit Expenses.
  • DPO Relay for HR team Malta and report data of processes to the DPO team when necessary.

Company Bonus and Salary Review

  • Ensuring that all Salary and Bonus data is kept accurate and forwarded to Finance when needed.
  • Liaise with the HR Management team in France yearly for a smooth Salary Review process.
  • Communicate with the Company Managers and Employees about the Bonus amounts which will be included as part of payroll.

Termination Process Management

  • Preparation of termination checklist and confirmation of leaving date.
  • Inform and assist the employees in concern about their leaving date together with any necessary processes including Tax Clearance and NI contribution transfers.
  • Offboarding: To make sure all equipment has been returned. Also, instructing employees about the taxi procedure to return such equipment.
  • Conduct Final Documentation Meetings for Leavers and to guide them in the offboarding process.

Correspondence Governmental Departments

  • Assist EU and Non-EU employees with the tax and social security departments.
  • Assist Non-EU employees with the Identity Malta Permit process.

Roles and Functions

  • Maintaining the Career Path including related systems.
  • Maintaining the Job Descriptions and Job Function database.
  • Ensuring that all employees have an updated Job Description and Job Function.

Other

  • Responsible for any other projects as agreed with HR Director.
  • Works effectively as a team member with other members of management and the HR staff.
  • To perform any other duties as assigned by the Management according to business and team needs.
  • Be assistance to the OFM Team
