 Job Purpose:

The leader of the Project Support Office will be responsible for the ownership, management and oversight of the execution of governance, risk and control activities across the project management team.

Working closely with the Portfolio Managers and Project Mangers to allocate team members to support projects to a high standard. This role is responsible for the application of quality assurance across the project team and ensuring consistency in approach for all project tasks and activities.

The role involves the management of a large team of project support resources including specialists in risk management, financial control, and project planning. The role forms part of the Head of Project Management’s key leadership team to; ensure the portfolio delivers to the highest project governance standards, provide management information and oversight, identify and drive continuous improvements opportunities which enhance project delivery maturity and capability.

Supporting the Head of Project Management in executive management and board communication. Provide leadership in audit and regulatory engagements.

This is an excellent opportunity to support a major program migrating a Financial Market Infrastructure (FMI) to a new target architecture.

 

Responsibilities:

The Project Support Office Lead will support the Head of Project Management with the following activities:

  • Effective Project and Program governance
  • Executive reporting of portfolio status, risks, issues, finances, change control
  • Develop and grow the existing team to be a best in class support office
  • Control and oversight of all project audits from key control/2nd line of defense/ 3rd line of defense stakeholders.
  • Partner with the Enterprise Program Management Office drive continuous improvements to processes resulting in higher quality output
  • Direct engagement with regulatory bodies

Managing a Project Support Services team, accountable for:

  • Ensuring project governance standards are consistently applied to a high standard
  • RAID maintenance (Risk, Issue, Assumptions, Dependencies)
  • Project plan quality
  • Portfolio & project finances
  • Creation of high-quality executive and board level meeting materials
  • Document control and preparation
  • Action follow-up (including working with 3rd parties)
  • Risk management
  • Meeting scheduling and management, including producing high-quality minutes.
  • Management reporting
  • Supporting and advocating continuous improvement


Experience / Qualifications / Soft Skills:

  • At least 10 years experience leading a large Portfolio Office function or leading complex programs
  • Experienced at presenting to executive management teams
  • Regulatory experience desirable
  • Project management certified (e.g. Prince2, PMI, APM etc.)
  • Knowledge of Financial Services and FX desirable
  • Previous experience working within a highly regulated industry (ideally Banking)
  • Proven organizational skills
  • Proficient with enterprise PPM tools such as Planview PPMPro, Clarity PPM etc.
  • Proven experience supporting major change programs and portfolios
  • Advanced proficiency using Microsoft: PowerPoint, Excel, and Word
  • Professional presentation skills, including excellent written / verbal communication skills
  • Ability to provide leadership through influence where necessary (e.g. individual / group setting)
  • Ability to work both collaboratively and independently
  • Comfortable operating a structured team in fast paced environment
