We are currently in search of a dedicated and proactive Office Coordinator & Scheduler to become an integral part of our operations. In this pivotal position, you will serve as the initial point of contact for our clients, ensuring the seamless flow of scheduling for sales, measurements, installations, and service appointments. Your scheduling acumen will be essential in maintaining our operational calendar with efficiency. Proficiency in Salesforce or MarketSharp will be advantageous. Key Responsibilities

  • Act as the primary contact for incoming calls from both new and existing clients.
  • Efficiently manage and maintain the MarketSharp calendar.
  • Schedule measurements, installations, services, appointments, and meetings, as well as coordinate staff time off.
  • Oversee time-off requests and effectively manage any conflicts.
  • Assist in sales initiatives through quarterly follow-up calls.
  • Conduct project follow-up calls to ensure a 5-star service rating.
  • Process leads from various sources and create MarketSharp contact records.
  • Send out daily appointment reminders via text or email.
  • Input completed jobs into MarketSharp, including contracts, amendments, lead forms, and payment details.
  • Communicate necessary documentation to Operations and Procurement managers for review and input into QuickBooks.
  • Monitor job progress and resolve any processing issues that may arise.
  • Prepare required paperwork for installers or service technicians as needed.
  • Assemble customer gift and warranty folders.
  • Digitize customer files for improved access.
  • Maintain and distribute weekly reports on leads, sales, and installations.
  • Provide administrative support for the creation and updates of contracts, forms, letters, and templates.
  • Coordinate materials for trade shows and proposals while maintaining showroom inventory and branding.
  • Foster team communication and camaraderie, organizing celebrations for birthdays and special occasions.

Required Skills

  • A minimum of 2 years of scheduling experience with a focus on customer service.
  • Proficiency in MS Office (Word and Excel), Google Sheets, Outlook, and MarketSharp (CRM).
  • Exceptional communication and organizational abilities.
  • Strong multitasking skills to manage various tasks effectively.
