Job Overview

We are actively seeking a proactive and detail-oriented Executive Assistant to become an integral part of our leadership team. This position is ideally suited for an individual who excels in maintaining organization, proactively addressing needs, and ensuring efficient operations within a fast-paced environment.

Key Responsibilities

  • Efficiently manage the calendars of senior executives, coordinating meetings, appointments, and travel arrangements.
  • Handle email communications proficiently, ensuring timely responses and prioritizing urgent issues.
  • Prepare, review, and polish documents, presentations, and reports to uphold professional standards.
  • Support various logistical tasks, including mailing, shipping, and running errands to enhance executive workflow.
  • Organize meeting agendas, actively participate in weekly leadership discussions, and accurately document minutes while following up on action items.
  • Conduct research and compile information to aid in strategic decision-making and project development.
  • Assist with budgeting tasks and perform basic research as needed.
  • Scrutinize receipts and expense reports for accuracy and timely processing.
  • Coordinate travel logistics, including flight, hotel, and transportation bookings, to ensure seamless travel experiences.
  • Develop comprehensive itineraries and research activities to enrich travel experiences for executives.
  • Identify avenues to enhance executive productivity and propose innovative solutions.
  • Manage sensitive information with the utmost discretion and professionalism.

Required Skills

  • Proficiency in Microsoft Office Suite (Word, Excel), with a familiarity in Airtable being an advantage.
  • Exceptional written and verbal communication capabilities.
  • Strong organizational skills coupled with meticulous attention to detail.
  • The ability to manage confidential information with professionalism and discretion.

Qualifications
