Job Title: Accounts Receivable Representative

Job Overview

We are thrilled to invite an Accounts Receivable Representative to join our esteemed organization. In this remote role, you will play a crucial part in overseeing and managing incoming payments while maintaining effective communication with customers and collaborating closely with our billing department and management team.

Key Responsibilities

  • Directly report to the company controller to ensure transparent communication and efficient resolution of financial matters.
  • Handle the processing of payments received through Automated Clearing House (ACH) transactions, checks, or cash, ensuring accurate and timely recording.
  • Identify and communicate any payment discrepancies to the billing supervisor, working collaboratively to resolve issues with customers swiftly.
  • Escalate unresolved payment discrepancies to the company controller for further investigation and action.
  • Perform reconciliation of receipts from accounting software to bank records, ensuring consistency across all transactions.
  • Align customer accounts payable information with accounts receivable records for efficient financial monitoring.
  • Develop methods to identify and collect overdue accounts receivable while resolving credit balances.
  • Maintain up-to-date customer master files with relevant collections and accounts payable contact information.
  • Conduct quarterly assessments of accounts receivable to ensure financial health and precision.
  • Take on additional responsibilities as assigned, demonstrating adaptability and a commitment to team support.
  • Gather essential financial data for accounting records, compute numerical data, and verify business transaction accuracy.
  • Execute data entry and administrative tasks with great attention to detail and efficiency.

Required Skills

  • Outstanding attention to detail paired with strong organizational capabilities.
  • Advanced proficiency in Microsoft Excel complemented by competence in other Microsoft Office applications.
  • Familiarity with document management systems, remote check deposit scanners, and online credit card payment processing.
  • Proven experience in processing accounts receivable transactions within an ERP system.
  • A solid understanding of Generally Accepted Accounting Principles (GAAP) and general ledger accounting.
  • Ability to effectively prioritize tasks, manage multiple responsibilities, and meet deadlines.

Qualifications

  • Previous experience in accounting, finance, or related fields is essential.
  • Experience with LoadMaster by Tom McLeod Software is highly regarded.
  • A background in billing or collections, with expertise in resolving payment discrepancies, managing financial spreadsheets, and reconciling transactions.
  • Experience in the trucking sector is a significant advantage.
  • Demonstrated capability in preparing monthly account reconciliations, maintaining reports, and conducting variance analysis.
  • Excellent communication skills, with proficiency in navigating complex customer situations with professionalism.
  • Willingness to provide references upon request.
