Job description

Summary of the role
The Assistant to the CEO plays a critical role in providing high-level administrative support to the Chief Executive Officer (CEO), ensuring the smooth functioning of daily operations, and enabling the CEO to focus on strategic initiatives. This position requires exceptional organizational skills, discretion, and the ability to handle multiple priorities. The Assistant will manage the CEO’s calendar, coordinate meetings, handle communications, and assist with both personal and professional tasks. As a key liaison between the CEO and internal/external stakeholders, the Assistant must be proactive, adaptable, and able to anticipate the CEO's needs.

Responsibilities
  • Provide ‘day to day’ assistance and support to the CEO; coordinating correspondence, proactive/accurate management of diaries, Video Conferencing and other calls, emails, arranging, tracking, and monitoring meeting actions.
  • Handle incoming communications (emails, phone calls) and prioritize urgent matters.
  • Assist in the planning and execution of special projects and strategic initiatives.
  • Conduct research and gather data to support the CEO’s decision-making.
  • Organize and prepare materials for meetings, including agendas and minutes.
  • Act as a point of contact between the CEO and internal teams, clients, vendors, and other stakeholders.
  • Coordinate the CEO’s domestic and international travel, including itinerary planning, bookings, and visa applications.
  • Manage personal communications and schedules to ensure smooth coordination between personal and professional obligations.
  • Handle confidential information with professionalism and discretion.


Requirements

Essential Skills, Knowledge & Experience

  • Degree in Business Management or relevant field (Optional)
  • Minimum 4 - 5 years of experience
  • Training as a secretary is an added advantage.
  • Strong organizational and time-management abilities.
  • Excellent verbal and written communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and digital tools for communication and scheduling.
  • Ability to handle sensitive information with confidentiality.
  • Strong interpersonal skills with the ability to build relationships across all levels.
  • Excellent communication skills, fluency in English, professional and friendly phone etiquette
  • Exceptional organizational and multitasking skills
  • Ability to work well under pressure and meet deadlines

Work Environment

  • General Work Hours: 9.00AM - 6.00PM (WFO & WFH) - 45hrs/week
  • Remuneration: Gross Salary Up to LKR 225,000/- 
  • Location: Hybrid. 4 days work from Colombo 5 office and 1 day work from home.
