Project Manager, Meeting Management

Full-time, (home) based in the Netherlands

We are seeking a Project Manager to join one of our client-dedicated teams. In this role, you will own client relationships and ideally have experience in congress or pharmaceutical events. You should be comfortable guiding stakeholders, and enjoy negotiating, contracting, and managing budgets. Additional responsibilities may include attendee registration, website development, program organization, onsite management, and reconciliation. Think you’re a great fit for this role? Read on!

The ideal candidate will be able to deliver high-quality meeting support and maintain a clear overview while managing multiple projects simultaneously.

As a Project Manager You Will

  • Have overall responsibility for the planning and execution of (congress) events
  • Source hotel/venue availability based on the program specifications
  • Utilize and leverage Client preferred hotel agreements when negotiating hotel contracts
  • Ensure supplier quotations are fully negotiated to secure the best possible rates and conditions
  • Manage external vendors and suppliers – for sourcing, negotiating, contracting and event delivery
  • Financial responsibility of the event budget – from budget preparation to final reconciliation
  • Schedule and attend supplier visits as needed
  • Track and report hotel room nights, spending, and cost savings
  • Ensure the integrity of technology-related data
  • Initiate process improvements that align with the client’s strategies and long-term goals

You Should Know

  • Programs will vary in scopes and size, ranging from 10 to 500 attendees.
  • Communication within the team is open and flexible.
  • You will be responsible for adhering to all processes and serving as your client’s subject matter expert.
  • The role is home-based, but the team meets once a week at our head office in Utrecht.

What We Are Looking For

  • BA preferred or similar level of experience with a business focus
  • Experience in meetings management, understanding of meeting types and considerations
  • General knowledge of destinations, hotels, and suppliers
  • Excellent oral and written communication skills in both English and Dutch
  • Knowledge of Cvent is a plus
  • Pharmaceutical compliance knowledge is an additional plus
