Salary Range: $1,100 - $1500 Per Month

Position’s Goal: The Executive Assistant is responsible for overseeing the CEO's schedule, managing communication channels, and ensuring seamless operations. You will be pivotal in keeping the CEO informed, organized, and prepared for meetings and business events. Your goal is to enhance productivity by handling essential tasks, such as calendar management, correspondence, and travel arrangements, allowing the CEO to focus on strategic initiatives.

Key Functions and Responsibilities:

General:

  • Serve as the point of contact between the CEO and executives, employees, clients, and external partners.
  • Review, prioritize, and inform the CEO of scheduled tasks.
  • Be a stickler for detail 
  • Be obsessed with juggling multiple projects and items simultaneously 
  • Passionate about each day looking different 
  • Manage the CEO's email inbox, filtering out irrelevant messages and prioritizing important communications.
  • Coordinate travel, accommodations, and personal appointments.
  • Maintain confidentiality and ensure security of sensitive information.

Daily:

  • Prepare and format internal and external communications for the CEO, including memos, emails, presentations, and reports.
  • Review the CEO’s calendar, identify conflicts, and make necessary adjustments.
  • Attend CEO meetings, take detailed notes, and follow up on key points.
  • Ensure timely completion of tasks assigned by the CEO.

Weekly:

  • Ensure the accurate and timely flow of information to and from the CEO.
  • Provide updates and feedback to the CEO on any outstanding tasks or operational needs.

Monthly:

  • Coordinate logistics for scheduled events and company meetings.
  • Assist with gathering information for specific projects.

Quarterly:

  • Participate in quarterly reviews and performance assessments.
  • Assist with coordinating webinars and other key business initiatives.

Strategic Internal Relations:

  • CEO: Provide seamless support and follow up on tasks (Daily).
  • Operations Manager: Ensure timely delivery of tasks and assist with operational updates (Weekly).
  • Leadership Team: Coordinate communication and updates as needed.

Strategic External Relations:

  • Clients: Handle inquiries and communicate archived information (As needed).
  • Suppliers: Arrange meetings and ensure coordination with relevant parties (As needed).
