Job description

Summary: We are immediately looking to hire a fabulous office assistant to join our high-end, multi-disciplinary health and wellness center. The ideal candidate will play a key role in managing the flow of the office,maintaining customer relationships, and the growth of our marketing programs. You will be responsible

for professionally interacting and comfortably communicating with OWC healthcare providers, patients, vendors, and visitors, and knowledgeably handling confidential and critical details. In this role, it will be crucial for you to anticipate the needs of the practitioners and patients and work flexibly to accommodate schedules. The ideal candidate will have experience supporting a small team. They should be well organized and be comfortable scheduling meetings and responding to emails on behalf of the providers. The ideal candidate will be responsible for creating and executing our marketing campaigns, evaluating our marketing performance metrics, and collaborating with internal teams. Lastly, this individual should be able to draft documents and help the providers with any necessary meeting preparations.

DUTIES & RESPONSIBILITIES:

  • Marketing Tasks:
    • Create and execute marketing campaigns in line with our marketing plan.
    • Evaluate marketing performance metrics and make data-driven decisions.
    • Manage social media accounts and create engaging content.
    • Assist with promoting the business through various channels.
    • Plan and coordinate events to generate new clients.
    • Develop marketing materials to support business growth.
    • Collaborate with internal teams to enhance marketing efforts.
  • Customer Service Tasks
    • Ensure patients, customers, vendors, etc., receive excellent service in a pleasant environment
    • Provide timely and professional responses to all correspondence, questions, and concerns, whether in person, over the phone, via fax, or online messaging, with exceptional etiquette.
    • Answer multiple phone lines and confirm appointment times.
    • Assist doctors with patients: guiding them to treatment rooms, helping them onto/off treatment tables, placing patients on/off therapy as needed, and giving new patients office tours.
    • Educate patients by explaining forms and associated fee schedules.
    • Verify that all new patient forms have been properly completed according to office policy.



  • Administrative Tasks:
    • Manage the office schedule and flow, including new and established patient appointments, meetings, and events.
    • Perform efficient data entry of patient information into the EHR software system, including organizing and scanning or importing all patient documentation into the patient file.
    • Collect payments, audit patient accounts, and prepare monthly statements.
    • General clerical duties such as processing incoming and preparing outgoing mail, checking email, filing, faxing, making copies, and ordering office supplies as needed.
    • Follow HIPAA rules and regulations regarding patient confidentiality.


QUALIFICATIONS:

  • Ability to work the open business hours stated above each week.
  • Proficient knowledge of general office equipment: phones, computers, Microsoft and Google products
