Job description

Role Summary

Our client is looking for a Project and Sales Coordinator who will administer and coordinate all types of projects, from simple activities to more complex plans. He/she should have excellent time management and communication skills, as he/she will collaborate with clients and internal teams and ensure that all projects are completed on time, within budget, and meet high-quality standards.

SCHEDULE: 8:00 AM – 5:00 PM Pacific Daylight Time (11:00 PM – 8:00 AM Philippine Standard Time), follows Philippine holidays

POSITION TYPE: Full Time

WORK ARRANGEMENT: Remote

Essential Functions

  • Perform various coordinating tasks, like schedule and capacity analysis, along with administrative duties, like maintaining project documentation, and handling client inquiries
  • Create and disseminate weekly status reports to clients
  • Monitor central client inbox for tasks and inquiries such as scope, quote, respond, and set up tasks
  • Assign tasks to internal teams and assist with schedule management
  • Attend General Counsel Services (GCS) meetings with the attorney to take notes and understand needs. Take note of the agenda, post meeting minutes, and create and assign tasks using the budget and scoping
  • Work with the Project Manager to eliminate blockers, monitor project health, and create and maintain comprehensive project documentation, plans, and reports
  • Ensure standards and requirements are met by conducting quality assurance tests
  • Understand and monitor capacity and target projects
  • Understand the client and their goals and missions

Qualifications

  • A Bachelor’s degree in the related field
  • Proven work experience as a Project and Sales Coordinator or similar role
  • Legal-specific knowledge is a plus
  • Have leadership skills
  • Experience in a multi-client environment
  • Strong computer aptitude, which includes expertise with Microsoft 365 applications
  • Solid organizational skills, including multitasking and time-management
  • Strong client-facing and teamwork skills
  • Ability to adapt quickly to new software
  • Strong organization, oral and written communication skills
  • Analytical skills with particular attention to detail
  • Aptitude in data management, analytics, reporting preparation
  • Ability to function in an autonomous environment—independent worker, self-directed
