Job description

Role Summary

Our client is looking for an Operations Assistant who will play a vital role in supporting various aspects of our operations to ensure seamless customer experiences. This role will process orders, create invoices, and manage accounts.

SCHEDULE: 2:00 PM – 11:00 PM Eastern Daylight Time, Friday -Tuesday (2:00 AM – 11:00 AM Philippine Standard Time, Friday -Tuesday), follows Philippine holidays

POSITION TYPE: Full Time

WORK ARRANGEMENT: Remote

Essential Functions

  • Handle new order processing, which involves creating purchase orders and invoices
  • Provide customer service assistance, both to our customers and various marketplaces
  • Compile and report departmental statistics on a daily and weekly basis
  • Manage and map events for smooth execution
  • Fulfill ticket orders for non-automated deliveries
  • Assist in managing accounts for large partners, including tasks related to accounts receivable and delivery reporting
  • Oversee the management of promo codes and passwords for multiple accounts
  • Collaborate with the VIP Fulfillment team to facilitate ticket acceptance for package orders
  • Keep an updated log of postponed and canceled events
  • Provide after-hours and weekend support for the Inventory and VIP divisions
  • Support the Inventory manager with purchasing operations
  • Contribute to consignment builds, close-outs, and reconciliation processes
  • Provide retail sales leads assistance

Qualifications

  • A Bachelor’s degree in the related field is preferred
  • Proficiency in using various computer programs and tools for data management and reporting
  • Availability to work a five-day work week, with shifts that cater to business demands (including possible rotating weekend shifts)
  • Experience in a multi-client environment
  • Detail-oriented and highly organized individual with exceptional multitasking abilities
  • Strong interpersonal and communication skills to effectively engage with customers and colleagues
  • Proactive problem solver who can navigate challenges with a positive attitude
  • Ability to adapt to a virtual work environment and embrace flexible scheduling
  • Flexible and adaptable mindset to accommodate evolving priorities and responsibilities
  • Analytical skills with particular attention to detail
  • Ability to function in an autonomous environment—independent worker, self-directed
