Job description

Role Summary

Our client is looking for a Receptionist/Office Manager to join their growing team. This role will be responsible for managing tasks, handling documentation and communication, organizing meetings, and providing administrative and bookkeeping support.

WORK SCHEDULE: 9:00 AM – 6:00 PM Pacific Daylight Time (12:00 AM – 9:00 AM Philippine Standard Time), follows Philippine holidays

POSITION TYPE: Full Time

WORK ARRANGEMENT: Remote

Essential Functions

  • Utilize Microsoft Office, Asana, and Google Workspace to manage tasks, documents, and communications
  • Organize meetings, appointments, and company records to ensure optimal office workflow
  • Maintain confidentiality and integrity when handling sensitive information.
  • Assist in various administrative tasks to support team members, including document preparation, filing, and correspondence management
  • Provide constructive feedback to streamline and improve internal administrative processes
  • Handle basic bookkeeping duties

Qualifications

  • An associate’s degree in the related field is an advantage
  • 3-6 years of industry experience
  • Previous experience in an administrative role, preferably with some bookkeeping experience
  • Experience as a top-notch receptionist, proficient with RingCentral and fluent in accent-free communication
  • Familiarity with administrative and clerical procedures
  • Must be comfortable using Hubstaff for time tracking and project management. This includes familiarization with its features for logging work hours, tracking project progress, and submitting accurate reports
  • Proficiency in Microsoft Office, Asana, and Google Workspace
  • Knowledge of Airtable is a plus, as is experience in insurance or financial services
  • Excellent organizational skills and attention to detail
  • Proven ability to handle confidential information with discretion
  • Strong communication skills and the ability to work collaboratively within a team
  • A proactive attitude towards problem-solving and process improvement
