What to expect

The Project Scope Manager plays a pivotal role within our consulting services organization, overseeing the creation, coordination, and validation of detailed Statements of Work (SOWs) and related contract documents for Warehouse Management Systems (WMS) and Labor Management Systems (LMS) implementation projects.
 
  • This role requires direct interaction with customers to discuss project scope, ensure alignment on expectations, and validate the legitimacy of estimated hours for project completion.
  • You will be reviewing and optimizing our current Statement of Work (SOW) process.
  • Your focus will be on enhancing the efficiency and effectiveness of our intake and documentation processes, while also tracking key metrics such as current rates, rate exceptions, and PO requirements.
  • This role requires a proactive approach in defining and refining processes, as you will not be walking into a fully defined or optimized role.
This position is based in the US and is remote.

Once you join our team, you will…
  • Develop and Manage Project Scope Documentation: Lead the development of comprehensive Statements of Work (SOWs) for WMS and LMS projects, ensuring each SOW clearly defines the project scope, deliverables, timelines, roles, responsibilities, and pricing structures. Work on refining our current SOW process, identifying areas for improvement, and implementing optimizations. Ensure all aspects of the project scope are detailed to avoid ambiguities and manage expectations.
  • Customer Engagement and Scope Definition: Engage directly with customers to discuss and refine the project scope. Facilitate meetings and workshops to ensure that all customer requirements are accurately captured and reflected in the SOWs. Build strong relationships with customers to gain a deep understanding of their business needs and objectives.
  • Validate Project Estimates: Review and validate the estimated hours and resources provided for project completion. Ensure that all estimates are realistic, justified, and align with the scope of work defined in the SOWs. Collaborate with internal teams and subject matter experts to assess the accuracy of project estimates and adjust as needed.
  • Collaborate with Cross-Functional Teams: Work closely with internal stakeholders, including technical teams, project managers, and subject matter experts (SMEs), to gather the necessary information to develop accurate SOWs. Facilitate discussions to capture technical and functional requirements and ensure alignment with project goals.
  • Contract Coordination: Assist in the preparation, review, and coordination of contracts related to project work, ensuring all contractual obligations are aligned with the scope of work defined in the SOWs. Ensure that all contractual documents comply with organizational standards and client requirements.
  • Risk and Contingency Planning: Identify potential risks and challenges during the SOW development process and develop appropriate contingency plans. Ensure all identified risks are documented and addressed in the project scope to minimize disruptions and maintain project momentum.
  • Communication and Stakeholder Management: Serve as the primary liaison for all matters related to project scope and SOW development. Ensure clear, consistent, and timely communication with clients and internal stakeholders regarding project status, changes in scope, and any emerging risks.
  • Quality Assurance: Maintain high standards of quality in all project documentation, ensuring consistency, accuracy, and compliance with industry best practices. Regularly review and update SOW templates and processes to incorporate feedback and lessons learned from previous projects.
  • Monitor and Track SOW Status: Track the status of all SOWs in progress, ensuring adherence to timelines and obtaining necessary approvals. Provide regular updates to the Project Management Office (PMO) and senior leadership on the status of SOW development and any contract-related issues.
  • Facilitate Project Kick-Off: Support project kick-off activities by ensuring that all project scope documentation is complete, accurate, and properly communicated to all project stakeholders. Assist in transitioning from the planning phase to project execution.
Skills & Experience
  • Bachelor’s degree in Business Administration, Supply Chain Management, Information Technology, or a related field.
  • 5+ years of experience in project management, scope management, or contract coordination roles within a consulting or large enterprise environment.
  • Strong understanding of Warehouse Management Systems (WMS) and Labor Management Systems (LMS), including their implementation processes, requirements, and potential challenges.
  • Proven experience engaging directly with customers to discuss project scope and validate project estimates.
  • Excellent organizational skills with a keen attention to detail and a commitment to accuracy and compliance in documentation.
  • Strong interpersonal and communication skills, with the ability to effectively collaborate with cross-functional teams and engage senior stakeholders and clients.
  • Proficiency in project management tools (e.g., Microsoft Project, JIRA, Trello) and document management systems.
  • Experience in a consulting or professional services environment, with an understanding of billing clients by the hour.
  • Ability to work independently and manage multiple priorities in a fast-paced, dynamic environment.
  • PMP, PRINCE2, or similar project management certification is a plus.
