Job Summary

As our Office Administrator, you'll play a vital and central role in our team, using your organizational skills to make a real difference. Your responsibilities will include a mix of Feel Good Manager activities alongside various administrative and operational tasks. You'll be the heart of our office, organizing team events, managing office operations, and ensuring everything runs smoothly.  Additionally, you'll support HR activities and help us shape and nurture our office culture.

You will:

  • Coordinate office activities and related operations, collaborating with other departments to ensure efficiency, quality, compliance with company policies, and a safe, healthy working environment.
  • Assist colleagues in providing qualified administrative services to internal clients proactively and as needed, while enhancing team well-being through your presence and Feel Good Manager activities.
  • Support the HR and IT departments in various activities and accompany the onboarding process of new team members
  • Organize team events, be involved in internal team on-site and on-line events organization
  • Coordinate timely setup of workspaces, monitor and adjust office layouts, rearrange seating plans, and forecast office needs and seating requirements
  • Control, coordinate, negotiate with vendors and suppliers, coordinate with landlord(s).
  • Carry out the purchasing, keep stock of office and other related supplies (inventory) and place orders when necessary.
  • Maintain office and technical equipment.
  • Support the budgeting, bookkeeping, and legal procedures
  • Support actively the procurement procedures.
  • Design and implement office management and administration policies and procedures. 

You have:

  • Proven experience (2+ years) as an office manager/administrator, office assistant or relevant role;
  • Outstanding communication in German and English, and interpersonal abilities;
  • Excellent organizational, time management and leadership skills;
  • Familiarity with office management procedures and basic accounting principles;
  • Experience with Google Docs/Sheets/Slides would be a plus.
