Position Overview:  

PCG is looking for an Epic Care Welcome Analyst who is responsible for implementing, configuring, and supporting the Epic Care Welcome module within a healthcare organization. This role focuses on ensuring a smooth and efficient patient registration and check-in process, collaborating with various stakeholders including registration staff, patient access teams, and front desk personnel. The analyst serves as a subject matter expert for the Welcome module and provides technical support to end-users. 


Key Responsibilities: 

  • Epic Care Welcome Module Configuration: Configure and maintain the Epic Care Welcome module to meet the specific patient registration and check-in requirements of the healthcare organization. This includes setting up appointment scheduling, insurance verification, demographic information collection, and consent management features. 
  • Workflow Analysis and Optimization: Collaborate with registration staff and front desk personnel to analyze existing workflows and identify opportunities for streamlining and optimizing the patient registration and check-in process. Implement changes to improve efficiency, reduce wait times, and enhance patient satisfaction. 
  • Training and Support: Develop and deliver training programs to educate registration staff, patient access teams, and front desk personnel on using the Epic Care Welcome module. Provide ongoing support, troubleshoot issues, and address user inquiries in a timely manner. 
  • Patient Engagement and Experience: Work closely with patient engagement teams to ensure a seamless and positive patient experience during the registration and check-in process. Collaborate on initiatives to enhance patient education, communication, and overall satisfaction. 
  • Data Integration and Analytics: Coordinate with other modules and systems, such as scheduling and billing, to ensure smooth data integration and exchange of information within the Welcome module. Utilize analytics tools and techniques to monitor key performance indicators related to patient registration and check-in. 
  • Reporting and Documentation: Generate comprehensive reports, dashboards, and data visualizations within the Welcome module to monitor operational metrics and identify areas for improvement. Maintain accurate documentation of workflows, system configurations, and changes made to the module. 
  • System Upgrades and Enhancements: Stay updated with the latest features, upgrades, and best practices related to the Epic Care Welcome module. Collaborate with the IT team and Epic representatives to implement system upgrades and enhancements. 
  • Regulatory Compliance: Ensure compliance with healthcare regulations and standards, such as HIPAA, during the patient registration and check-in process. Assist in the documentation and reporting of data for regulatory and quality reporting purposes. 
Requirements

 

  • Bachelor's degree in healthcare informatics, healthcare administration, or a related field. 
  • Previous experience working with the Epic EHR system, particularly in configuring and optimizing the Welcome module. 
  • Strong understanding of patient registration and check-in processes, including appointment scheduling, insurance verification, and consent management. 
  • Knowledge of data integration and exchange processes within healthcare systems. 
  • Proficiency in analytics tools and techniques to monitor operational metrics and identify areas for improvement. 
  • Excellent communication and interpersonal skills to collaborate with cross-functional teams, stakeholders, and end-users. 
  • Ability to provide training, support, and troubleshoot issues related to the Welcome module. 
  • Attention to detail and a commitment to maintaining data integrity and patient privacy. 
  • Ability to prioritize tasks, meet deadlines, and work in a fast-paced environment. 
  • Familiarity with healthcare regulations and standards, such as HIPAA, related to patient registration and check-in.
