Job description

We are seeking for an Ops Accounting Virtual Assistant to support our financial operations and budget management processes. The Ops Accounting Virtual Assistant will play a crucial role in budget planning, bid solicitation, payables, month-end close and journal entry auditing. The ideal candidate should be highly organized, detail-oriented, and proficient in financial data analysis and reporting. The VA will support CM and PM.

Duties and Responsibilities:

  • Month-End Close:
    • Reconcile bank statements from each bank account.

    • Perform data preparation and analysis for the Month-end Closing process.

    • Assist in creating the Month-end Report.

  • Budget Planning:
    • Collaborate with the Community Manager to develop the budgeting process for Community Management (CM).

    • Assist in preparing upcoming year projections for the budget.

    • Participate in board meetings to build the budget for the next fiscal year.

  • Budget Entry Check and Red Flags:
    • Collaborate with the Community Manager to review and examine budget entries for accuracy and identify potential issues or discrepancies.

    • Address any red flags and ensure annual input is accurate.

  • Bid Solicitation:
    • Update bid packages and solicit bids from potential service providers.

    • Keep the documents organized in the association folders.

  • Accounts Payable:
    • Receive invoices and financial documents from vendors, suppliers, and service providers.

    • Review invoices for accuracy, completeness, and adherence to AG policies.

    • Process payments on behalf of communities and owners, ensuring prompt and accurate transactions.

  • Utility Management:
    • Assist in the management and oversight of utility expenses.


Knowledge or Skills Needed:

  • Previous experience in accounting, budgeting, or financial managemen is required.

  • Knowledge of Generally Accepted Accounting Principles (GAAP) is required.

  • Proficiency in Excel and financial software like QuickBooks.

  • Strong attention to detail and accuracy.

  • Excellent communication and organizational skills.

  • Ability to work efficiently in a fast-paced environment.
