Job description

This is a remote position.

As a Virtual Assistant to the Managing Director (MD), you will provide high-level, remote administrative support to ensure smooth day-to-day operations and strategic focus. The role requires strong organisational, communication, and time management skills, as well as discretion and professionalism in handling confidential information.

 

Key Responsibilities:

  • Diary & Calendar Management
    Coordinate and manage the MD’s calendar, scheduling meetings, calls, and internal/external appointments across time zones.
  • Inbox & Communication Support
    Monitor and manage the MD’s email inbox as needed—filtering, prioritizing, drafting responses, and flagging critical items.
  • Meeting Coordination & Documentation
    Arrange virtual meetings, prepare agendas, take minutes, and follow up on action items with internal and external stakeholders.
  • Project & Task Management
    Track deliverables, manage to-do lists, and help coordinate strategic initiatives led by the MD.
  • Travel Planning & Logistics
    Arrange complex travel itineraries, bookings, and expense reporting (when applicable).
  • Document Preparation & Research
    Assist with preparing presentations, briefing materials, and conducting background research on key topics, clients, or partners.
  • Stakeholder Liaison
    Serve as a point of contact for internal teams, clients, and partners on behalf of the MD, ensuring timely and professional communication. Organise calendar and act as a gatekeeper to the Managing Director
 

Requirements

Skills & Competencies:

  • Strong organisational and time-management skills
  • Excellent written and verbal communication
  • High attention to detail and discretion with sensitive information
  • Tech-savvy; proficiency in MS Office/Google Workspace, Zoom/Teams, and task management tools (e.g., Hubspot, Linkedin, Zoho)
  • Proactive, self-motivated, and adaptable to changing priorities
  • Experience supporting executive-level leadership preferred

 

Ideal Candidate Profile:

  • 3+ years in an administrative, EA/PA, or virtual support role
  • Experience working with C-suite executives or in a fast-paced, high-growth business
  • Comfortable working across global time zones and managing competing demands
  • Ability to anticipate needs and operate with a solution-focused mindset
