​​The University Registrar is the principal steward of academic records and plays a critical role in ensuring the integrity, accuracy, confidentiality and security of all student academic data. The Registrar provides strategic leadership and operational oversight for the department, managing a comprehensive range of services that support students, faculty, staff, and alumni throughout the student lifecycle. This position requires a deep understanding of academic policies, FERPA regulations, enrollment management principles, and the effective use of technology to enhance service delivery. The ideal candidate will be a collaborative and innovative problem-solver with exceptional communication and interpersonal skills. ​

The hiring range for this position is $89,769-$100,990 per year. Offers are determined by a variety of factors, including but not limited to geographical location, knowledge, skills, years & depth of experience, and equity with internal team members.

TYPE OF SUPERVISION: 

  • Receive general direction from the Associate Vice Chancellor, Student Services
  • General Direction — indicates that the incumbent receives guidance in terms of broad goals and overall objectives and is responsible for establishing the methods to attain them
  • Generally the incumbent is in charge of an area of work; and typically formulates policy for this area but does not necessarily have final authority for approving policy

POSITION DUTIES AND RESPONSIBILITIES:  

ESSENTIAL FUNCTIONS: 

  • Strategic Leadership and Departmental Oversight 

    • Develop and implement a strategic vision for the Office of the Registrar that aligns with the university's mission, vision, values, and strategic goals.  

    • Provide comprehensive leadership and direction across all Registrar functions, including records management, academic program and course setup, registration, degree audit, transcript services, enrollment verification, and graduation processing. 

    • Promote a culture of continuous improvement, innovation, and accountability within the department. 

    • Anticipate institutional needs and proactively implement innovative solutions to enhance effectiveness, service delivery, and operational efficiency. 

     

    Academic Records and Program Management 

    • Oversee the maintenance, accuracy, security, and integrity of all student academic records in compliance with FERPA and applicable regulations. 

    • Direct the implementation of catalog policies and procedures, including program changes, academic probation, petitions, record changes, grading, and degree conferrals. 

    • Supervise the development, testing, and implementation of the academic calendar in coordination with university stakeholders. 

    • Manage transcript and degree processing, as well as enrollment reporting, in collaboration with the National Student Clearinghouse. 

    • Lead the coordination and oversight of course and course section development in partnership with university departments. 

    • Coordinate academic catalog updates related to course information, records, and the academic calendar. 

     

    Systems and Data Management 

    • Ensure the effective and optimal use of the student information system and related technologies to support Registrar operations. 

    • Oversee system implementations and maintenance of all related enterprise software, including testing, training, workflow management, data migration, and table setup. 

    • Develop and manage enterprise system rules, requisites, codes, and configuration for student services modules. 

    • Ensure data integrity and accuracy for internal and external reporting in collaboration with Institutional Research and other departments. 

     

     

    Compliance, Policy, and University Collaboration 

    • Interpret, implement, and ensure compliance with university academic policies, federal/state regulations (including FERPA), and accreditation standards. 

    • Advise university leadership on the implications of academic and student records-related policy changes. 

    • Serve as an official liaison with university departments, divisions, and external partners regarding student records and academic programs. 

    • Actively contribute to university committees and task forces, offering subject matter expertise in academic policy and registrar services. 

    Staff Leadership and Development 

    • Recruit, train, supervise, and evaluate Registrar’s Office personnel to foster a high-performing, student-focused team. 

    • Support staff development and knowledge-building around systems, policy, and procedural changes. 

    POSITION SPECIFICATIONS AND REQUIREMENTS: 

    EDUCATION, EXPERIENCE, CERTIFICATION AND/OR LICENSES: 

    • Education: 

    • Bachelor’s degree required; an equivalent combination of education and relevant experience may be considered. 

    • Master’s degree preferred, especially in higher education administration, student affairs, or a related field. 

    • Experience: 

    • Minimum of five (5) years of progressively responsible management experience within post-secondary Enrollment Services (Registrar, Financial Aid, or Admissions), including direct customer service and student-facing responsibilities. 

    • Proven experience collaborating with academic departments on course equivalencies, academic requirements, and institutional academic policies. 

    • Demonstrated ability to lead in a high-volume, fast-paced, and dynamic environment requiring independent judgment and proactive problem-solving. 

    • Experience implementing new technologies, systems, or business process improvements within a Registrar’s Office or equivalent setting. 

    • Strong background in team supervision, project management, and coordinating cross-functional committees or task forces. 

    • Proficiency in administrative systems and data reporting, with preferred experience using Ellucian Banner, Softdocs, and other higher education systems.

    • Regulatory & Policy Knowledge 

    • Strong working knowledge of federal student record privacy laws (FERPA) and commitment to upholding institutional and regulatory compliance standards. 

    • Demonstrated understanding of higher education academic policies, procedures, and operational best practices, especially within registrar or enrollment services functions.

    • Scheduling and calendaring software, including Outlook and Microsoft Teams 

    • Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) 

    • Learning Management Systems (LMS) (for academic policy integration or cross-functional use) 

    • Workflow and project management tools (e.g., SharePoint, Microsoft Teams or similar)
