Description

Position Title: Financial Operations Coordinator 

Location: This is a Michigan-based remote position. The candidate must reside in Michigan or be willing to relocate. Occasional travel within the state or to other geographical areas for projects, ECIC meetings and to meet the needs of the organization. 

Schedule: Monday through Friday 

Class: Non-Exempt 

Salary: $50,558 - $55,000 


Position Summary:

The Financial Operations Coordinator plays a key role in keeping our financial operations running smoothly. This position is responsible for processing accounts payable, reconciling credit card transactions, handling expense reports, and supporting payroll processing. In addition, this role will assist with documenting financial policies and procedures. This position reports directly to the Senior Accountant and provides support on various financial and administrative tasks.

Requirements

  • Process accounts payable transactions including invoice entry, coding verification, approvals, and timely payment processing.
  • Reconcile credit card transactions by collecting receipts, verifying charges, and ensuring proper documentation and coding.
  • Review and process employee expense reports to ensure compliance with company policies.
  • Assist with payroll processing by gathering payroll data, verifying timesheets, and preparing necessary documentation for processing.
  • Reconcile monthly vendor statements and investigate discrepancies by working with vendors and internal teams.
  • Generate and review financial reports including accounts payable aging, expense tracking, and budget-to-actual comparisons.
  • Support the Senior Accountant with financial reconciliations, journal entries, and month-end closing activities.
  • Assist with bank reconciliations and other financial processes as needed.
  • Assist in developing and maintaining financial and administrative policies and procedures to ensure accuracy and compliance.
  • Support annual audit preparation by gathering financial documents, responding to auditor requests, and ensuring compliance with reporting requirements.
  • Coordinate vendor relationships, including onboarding new vendors and maintaining up-to-date records.
  • Monitor compliance with internal financial controls and administrative procedures.
  • Assist with staffing allocation certifications, including distribution and tracking to ensure timely receipt of signed documents.
  • Respond to internal and external inquiries related to accounting, payroll, and administrative processes.
  • Organize and maintain financial and administrative records, ensuring compliance with retention policies. 
  • Assist in preparing reports and presentations related to financial and administrative operations for leadership and external stakeholders.
  • Provide general administrative support as needed, including document organization, report preparation, and process coordination.

Requirements, Knowledge, Skills, and Abilities:

  • Associates degree with three (3) years of experience in accounting role such as Accounting Clerk, Bookkeeper or Staff Accountant, etc. required.
  • High degree of customer service, internally and externally.
  • Ability to communicate clearly, concisely, and professionally both verbally and in writing.
  • Ability to maintain accuracy and attention to detail while managing multiple tasks, projects, and timelines. 
  • Ability to use data and analytical skills to proactively identify opportunities, set priorities, and solve problems.
  • Strong interpersonal and relationship building skills.
  • Microsoft Office knowledge with proficiency in Microsoft Excel.

Physical Requirements:

  • Talking - Expressing or exchanging ideas by means of the spoken word to impart oral information to others accurately. (2-3 hours daily)
  • Hearing - Perceiving the nature of sounds at normal speaking levels with or without correction. Ability to receive detailed information through oral communication, and to make fine discriminations in sound. (2-3 hours daily)
  • Visual Acuity – Viewing objects with close visual acuity to perform an activity such as: preparing and analyzing data and figures; transcribing; viewing a computer terminal; and/or extensive reading. (5-6 hours daily)
  • Office Setting - Sedentary work in which exerting up to 10 pounds of force is occasional and a negligible amount of force is frequently or constantly used to lift, carry, push, pull or otherwise move objects, including the human body. Sedentary work involves sitting most of the time.
