The Shared Services Manager will be responsible for leading, managing and developing the Shared Services function of Proinvest group. The Shared Service Manager will lead the outsourced shared services team and manage the service delivery.
The Shared Services Manager will ensure adoption of best practice and manage AP, AR and EOM process teams both onshore and offshore. The Shared Service Manager will manage all stakeholders internal and external and ensure higher stakeholder experience is achieved.
Reporting to the Regional Financial Controller the Shared Service Manager will deliver group’s AP, AR and EOM (End of Month) strategy and future road map to manage the future growth of the company.
Key Responsibilities include:
General
Develop and execute the road map and strategy to transform Pro invest Shared Service function to embrace best practice to meet future demands and higher stakeholder experience.
Manage the outsourced shared service team in India, provide leadership and direction.
Develop and execute a strategy to deliver group’s financial services to Hotels, new developments and Corporate Office. Build a high performing shared service team consist of inhouse and outsourced including offshore resources
Participate in Projects and finance initiatives including new hotel openings and development and implementation of new systems
Develop and establish Finance policies to ensure governance framework in place across the group
Carry out periodic reviews of the group’s systems and processes to ensure they are meeting business demands
Analyse, recommend, and implement process improvements.
Perform other duties as required.
Accounts Payable, Accounts Receivable and End of Month (EOM)
As the Shared services Manager responsible for the delivery of following services.
Lead the AP and AR functions and the outsourced AP, AR & EOM teams
Take responsibility for the day to day operations of the AP Function including resolution of issues, planning payment runs, ensuring credit requests/vouchers are processed against negative receivers, supplier statements reviewed and reconciled on a regular basis etc.
Take responsibility for the day to day operations of the AR function including timely processing of journals and collection of payments.
Resolution of issues, allocating payments, raising Memos, matching to unapplied payments etc. to deliver Collection Targets.
Priorities and allocate team workload to ensure critical tasks are completed.
Work with Hotel Managers and head office finance team to ensure Vendor issues are dealt with and Customer outstanding’s are collected in accordance with best practice.
Act as the initial point for both Vendor, Procurement Team and Hotels queries.
Adhere to policies and procedures and understand the risks associated with non-compliance.
Provide collections forecast & weekly AR Aging reports highlighting to the Hotel Managers and Regional Financial Controller the items to focus on.
Provide payments forecast & review AP Aging reports highlighting to the Procurement team any areas of concern.
Monitor vendor account details for payment terms, duplicate payments and other irregularities, research and resolve payment discrepancies.
Keep Vendor Accounts up to date, ensure invoices are processed in a timely manner and manage the invoice recording, reporting and approval process per Pro invest Group Policy and Procedures.
Ensure Month end Process is planned every month to deliver Hotel Monthly accounts within the due dates.
Coordinate the EOM time table with all stakeholders
Review P/L and B/S prior to forwarding to the Hotel Managers
Attend to Hotel Manager queries and respond accordingly
Finalize the monthly financials and present to RFC
People & Culture
Working collaboratively with the People & Culture team:
Ensure business continuity of people resources by sustaining a pipeline of talented individuals (internal and external) to fill critical future vacancies. This includes identifying and developing talent to fill these business-critical positions.
Ensure all operational colleagues participate in the performance management system process; ensuring individual KPIs are allocated and achieved, colleague performance is measured in a fair and consistent manner and improvement/development plans are in place.
Oversee and participate in the recruitment and on-boarding of Outsourced Team.
Fosters a positive work environment for all Shared Service colleagues.
Experience, Knowledge and Skills:
10 + year plus experience in managing finance shared service functions
Deep understanding of the business finance systems
Experience in working within Real Estate, Hotels, Construction and/or Private Equity is preferable;
Excellent verbal and written communication skills;
Self-motivated and driven to succeed with the willingness to work as part of a high-performance team;
Demonstrated sense of initiative, problem solving capability and ability to work with little supervision; and
Ability to work to deadlines and under high pressure situations.
