Position Title: Subcontract Administrator & Compliance Support


Job Classification: Exempt


Work Schedule: Monday – Friday, 8 – 5 pm 


Reporting Relationship: Contracts & Compliance Manager  


Location: REMOTE


Primary Accountabilities: We are seeking a proactive and detail-oriented Subcontract Administrator and Compliance Support team member to assist with the administration of subcontracts and support compliance activities across multiple projects. This role will work closely with the Contracts & Compliance Manager, Project Managers, subcontractors to ensure subcontract documentation, certified payroll, and regulatory requirements are complete, accurate, and timely.


Duties Include:

  • Support the preparation and administration of subcontract agreements, SF1413s, and subcontractor packages.
  • Track subcontract status and maintain accurate and organized files, ensuring all required documentation, such as SF1413s, payment and performance bonds and insurance certificates are received and in compliance with project requirements.
  • Coordinate signature and execution processes for subcontracts, SF1413s, and change orders.
  • Review subcontractor submissions and bring any issues, redlines, or deviations from standard terms to the attention of the Contracts and Compliance Manager for review and resolution.
  • Assist with monitoring subcontractor compliance, including insurance certificates, UEI/SAM registration, E-Verify and other required documentation.
  • Review certified payroll reports submitted by subcontractors and sub-tiers for accuracy and completeness in accordance with Davis-Bacon Act (DBA) or Service Contract Act (SCA).
  • Maintain a certified payroll log for each project and support documentation tracking and retention efforts.
  • Collaborate with the Contracts & Compliance Manager to maintain internal compliance logs, templates and workflows.
  • Perform other administrative duties as assigned in support of the Contracts and Compliance Department.
Requirements

  

Requirements 

  • Associate’s or Bachelor’s degree in Business Administration.
  • 2+ years of experience in subcontract administration, contract support, or compliance in a construction or government contracting environment.
  • Working knowledge of certified payroll requirements (Davis-Bacon Act, prevailing wage laws, etc.) and subcontract documentation standards.
  • Strong communication and problem-solving skills with the ability to follow up and ensure resolution.
  • Exceptional attention to detail, organizational skills, and ability to manage multiple priorities.
  • Proficiency in Microsoft Office (Word, Excel, Outlook).
  • Must be able to work across multiple time zones throughout the company
  • Willingness to jump in on a weekend if necessary when dealing with tight deadline.

  • Ability to stand for extended periods of time.
  • Ability to read computer screens, email and talk on the phone.
  • Ability to bend, reach, kneel, twist and grip items while working at assigned desk area.
