Job Description

As PMO Coordinator (Deliverables & Information Management), you will play a key role in ensuring the smooth execution of multiple projects by managing governance frameworks, reporting processes, document control, and compliance tracking. Working closely with project managers, program leads, and external vendors, you will maintain program integrity and ensure that all deliverables align with organisational standards.

What You’ll Do

  • Support portfolio-wide project execution, tracking deliverables, risks, and dependencies.
  • Facilitate program meetings, workshops, and governance reviews, ensuring effective communication across teams.
  • Ensure program and project teams adhere to governance frameworks, managing reporting and compliance tracking.
  • Coordinate stakeholder engagement and provide administrative support to PMO leadership.
  • Maintain project registers (RAID, deliverables, change requests, and approvals) to ensure governance alignment.
  • Develop and manage program reporting dashboards, ensuring leadership has real-time insights.
  • Support Steering Committee documentation, including meeting minutes, status updates, and decision papers.
  • Provide risk escalation and mitigation tracking for program leadership.
  • Oversee SharePoint and document management systems, ensuring structured and secure information storage.
  • Implement version control, access management, and compliance protocols for all program documentation.
  • Manage document review, approvals, and retention policies, ensuring audit readiness.
  • Provide training and guidance to teams on best practices for document and information governance.
  • Identify opportunities to improve governance processes and increase efficiency across PMO functions.
  • Support change management initiatives, driving alignment between teams and transformation objectives.
  • Assist in standardising templates, workflows, and reporting formats for program success.

Qualifications
  • 3-5 years of experience in PMO coordination, PMO, or project governance role, ideally in IT, transformation, or systems migration.
  • Strong understanding of governance frameworks, reporting tools, and project documentation management.
  • Proficiency in SharePoint, Smartsheet, Jira, Confluence, or other project portfolio management tools.
  • Excellent stakeholder engagement and communication skills, with the ability to liaise across multiple teams.
  • Ability to manage multiple priorities, ensuring timely, high-quality reporting and documentation.
  • Experience in tracking and managing deliverables, risks, and compliance requirements within large-scale projects.
